About the Role

We are seeking an experienced Administrative Assistant III to join our team at the University Health Network (UHN) Psychedelic Psychotherapy Research Group (PPRG). This is an exciting opportunity to be part of a dynamic and innovative team that is at the forefront of psychedelic medicine research in Canada.

The successful candidate will provide administrative support to the PPRG team, including scheduling, calendar management, and data entry. They will also assist with the coordination of clinical trials, observational studies, and surveys related to psychedelic therapy. Additionally, they will support the educational aspects of the program, including the coordination of the Foundations of Psychedelic Psychotherapy Course and other educational initiatives.

The ideal candidate will have a strong background in administration, excellent organizational and communication skills, and the ability to work well in a fast-paced environment. They will also have experience with data management software and be proficient in Microsoft Office.

Key Responsibilities
  • Provide administrative support to the PPRG team, including scheduling, calendar management, and data entry.
  • Assist with the coordination of clinical trials, observational studies, and surveys related to psychedelic therapy.
  • Support the educational aspects of the program, including the coordination of the Foundations of Psychedelic Psychotherapy Course and other educational initiatives.
  • Monitor and analyze departmental/lab grant budgets.
  • Administer/monitor billing procedures and financial transactions.
  • Collect information for grant applications.
  • Support data entry and cleaning with guidance from research coordinators.
  • Creation and monitoring of a social media presence for the UHN PPRG.
  • Plan and coordinate high-profile onsite or offsite events.
  • Deal with confidential issues using discretion and judgment.
  • On-board new hires.
  • Support and mentor more junior administrative assistants.
Requirements
  • Community College Diploma in General or Medical Office or equivalent Administration.
  • 4 or more years related administrative experience with at least two years in a research administrative environment is preferred.
  • Strong interpersonal, organizational and problem-solving skills and excellent verbal and written communication skills.
  • Computer proficiency and experience using data management software (e.g., MS Office, Access, Excel) is required.
  • Highly motivated, with an ability to work well both independently and as part of a team.
  • Event planning skills are an asset.
  • Social Media and marketing skills are an asset.
