VFX Production Administrator

We are seeking a meticulous and proactive VFX Production Administrator to enhance our vibrant production team.

The ideal candidate will be instrumental in overseeing the daily functions of VFX projects, facilitating effective communication among artists, supervisors, and clients. If you possess strong attention to detail, outstanding communication abilities, and a genuine enthusiasm for VFX, we would like to hear from you.

Key Responsibilities

  • Support the Production Supervisor with various evolving requirements, including calendar management, schedule updates, and timecard processing.
  • Assist in maintaining quotas, deadlines, and inventory to ensure departmental productivity targets are consistently achieved.
  • Collaborate with the Supervisor to comprehend departmental needs and uphold the department schedule.
  • Ensure a seamless workflow between departments.
  • Alert the Production Supervisor to any issues or risks that may affect the schedule.
  • Conduct daily check-ins with artists to confirm they are progressing with their tasks and assist in resolving any obstacles impacting the timeline.
  • Coordinate crew meetings effectively.
  • Prepare for reviews by creating agendas, coordinating with the PA for attendee invitations, and ensuring room setups are ready for efficient meetings.
  • Manage playlists for reviews.
  • Follow up on action items resulting from meetings.
  • Understand the production pipeline and recognize how issues within the team can affect downstream processes, communicating with broader production teams as necessary.
  • Participate in production meetings and provide departmental updates as required.

Requirements

  • Experience: 1-2 years in a production role within the VFX, animation, or film sectors.
  • Communication: Exceptional verbal and written communication skills, capable of managing multiple stakeholders.
  • Organization: Strong organizational capabilities with the ability to prioritize tasks and manage time efficiently.
  • Technical Skills: Proficient in production tracking software (e.g., ShotGrid) and Microsoft Office Suite (Excel, Word, etc.).
  • Team Player: A collaborative mindset with the ability to thrive in a fast-paced environment.
  • Problem Solver: Proactive in identifying potential issues and addressing them effectively.
  • Passion: A sincere interest in VFX.
