We are currently seeking a highly organized and proactive Executive Assistant to provide extensive support to our Chairman and President. This role is crucial for the efficient functioning of the department, involving a variety of administrative responsibilities executed with accuracy and effectiveness.

Key Responsibilities:

  • Participate actively in board meetings, ensuring accurate documentation and minutes are maintained to capture essential discussions and decisions.
  • Oversee and manage projects, including those initiated by branch managers, ensuring coordination, progress monitoring, and alignment with the company's strategic goals.
  • Collaborate with various departments to support and lead both internal and external initiatives.
  • Handle all administrative tasks to alleviate the workload of the Chairman and President.
  • Conduct research, compile data, and prepare reports for review and presentation by executives, committees, and boards.
  • Provide general information regarding directives, activities, and by-laws, offering explanations or clarifications as needed.
  • Schedule and manage meetings for the Chairman and President, prioritizing and preparing necessary documentation.
  • Manage communication by answering, screening, and forwarding calls and emails.
  • Conduct research and provide requested information or direct inquiries to the appropriate personnel.
  • Establish and coordinate administrative policies and procedures for officials, committees, and boards.
  • Analyze incoming and outgoing correspondence and prepare summary briefs and reports for executives and committees.
  • Prepare agendas and organize meetings for committees, boards, and other groups.
  • Engage with individuals and interest groups on behalf of executives to discuss issues and recommend actions.
  • Consult with departmental and corporate officials, as well as external organizations, on behalf of executives and committees.

Qualifications for Success:

  • Exceptional verbal and written communication skills.
  • A minimum of one year of direct experience as an Executive Assistant in the electrical sector.
  • Proficiency in Rubicon, Microsoft Word, Outlook, Excel, and Teams.
  • Ability to demonstrate sound judgment, tact, and diplomacy in interactions with internal and external stakeholders.
  • Trustworthy individual capable of handling confidential and sensitive information with integrity.
  • Commitment to diversity, inclusion, and equality.
  • Positive attitude, enthusiasm, and collaborative spirit.
  • Strong interpersonal and communication skills, adaptable with problem-solving abilities.
  • Fluency in English.
  • A Master's degree is considered an asset.

Salary Range: $64,000 to $70,000.
