About the Role

We are seeking a highly organized and detail-oriented Secretariat Coordinator to join our team at the Standards Council of Canada | Conseil canadien des normes. This is an exciting opportunity to work in a dynamic and collaborative environment, supporting the governance and administrative functions of our organization.

Key Responsibilities
  • Provide administrative support to the Governing Council, Corporate Governance Committee, and Audit Committee, including preparing agendas, briefing documents, and organizing meetings.
  • Assist with the development and implementation of guidelines, processes, and procedures for coordinating Council and committee work.
  • Oversee the logistical arrangements for committee meetings, events, and conferences, and manage the review and approval process for papers.
  • Support the Director, Policy in identifying cross-over or opportunities to better align the work of SDOAC and PTAC.
  • Provide analysis and recommendations to develop project scope, plans, and monitoring/reporting processes, and engage with internal and external subject matter experts to support cross-functional initiatives.
Requirements
  • Post-secondary qualification in a relevant field and/or comparable experience in a corporate governance role.
  • Experience providing secretariat functions to corporate committees, including experience with secretariat systems and procedures for managing meetings, creating agendas, and tracking follow-up items.
  • Excellent written and verbal communication skills, with the ability to prepare detailed reports, briefing materials, meeting minutes, and correspondence for senior leadership and committee members.
  • Strong interpersonal skills, with the ability to build and maintain effective working relationships with internal and external stakeholders.
  • Ability to plan and analyze issues, policies, and documentation, ensuring alignment with governance structures.
  • Ability to handle multiple responsibilities simultaneously, efficiently managing tasks under pressure.
  • Ability to understand and apply governance documents, such as terms of reference, policies, and procedures.
  • Language Requirement: Bilingual imperative—SSSS (Reading/Writing/Understanding/Speaking), which means superior skills in reading, writing, understanding, and speaking the two official languages.
