Job Summary:

Industrial Light & Magic's Talent Coordinator plays a vital role in providing administrative support to the Talent Management team. This includes data entry, scheduling, social events, and special projects. The role offers opportunities to learn production business practices in a sophisticated, multi-project film post-production environment.

Key Responsibilities:

  • Assist the Talent Management team in day-to-day activities, including updating assignments and schedules in the database, calendar scheduling, travel coordination, and expense reporting.
  • Email weekly crew reports for each show and schedule weekly crewing meetings.
  • Record and distribute meeting minutes.
  • Act as a backup point person for Talent Managers, related to crewing and artist schedules.
  • Coordinate the setup of performance reviews and track progress to completion.
  • Update and maintain confidential files and database, including show credit lists and demo reel requests.
  • Point of contact for conference room bookings, including setup for cross-site meetings.
  • Coordinate Talent Management workplace services and IT needs.
  • Coordinate on-site Talent Management visitors.
  • Occasionally fill in for Executive Assistants.
  • Assist with various social events planning and coordination across ILM departments.
  • Special projects as needed on an ongoing basis as assigned.

Requirements:

  • Bachelor's degree in film production or equivalent work experience preferred.
  • Minimum one year of related experience.
  • Experience in VFX Studio environment is an asset.
  • Digital literacy: Microsoft Word, Excel, Google Suite.
  • Ability to prioritize multiple projects, work with diverse personalities, and work within timelines.
  • Ability to work well in a team environment.
  • Strong verbal and written communication skills.
