About the Role

We are seeking an experienced Administrative Assistant to join our team at Thind Transport Services. As an Administrative Assistant, you will play a key role in supporting our daily operations and ensuring the smooth flow of information within the team.

Key Responsibilities
  • Coordinate the flow of information within the team, ensuring timely and accurate communication.
  • Direct and control daily operations, prioritizing tasks and managing multiple projects simultaneously.
  • Evaluate daily operations, identifying areas for improvement and implementing changes as needed.
  • Open and distribute mail and other materials, maintaining a organized and efficient workspace.
  • Schedule and confirm appointments, ensuring seamless coordination with team members and external stakeholders.
  • Answer electronic enquiries, providing prompt and professional responses to customer inquiries.
  • Perform data entry, maintaining accurate and up-to-date records and databases.
  • Carry out administrative activities of establishment, ensuring compliance with company policies and procedures.
  • Oversee and co-ordinate office administrative procedures, streamlining processes and improving efficiency.
  • Review and evaluate new administrative procedures, identifying opportunities for improvement and implementing changes as needed.
  • Establish work priorities and ensure procedures are followed and deadlines are met, maintaining a high level of productivity and accuracy.
  • Implement new administrative procedures, ensuring seamless integration with existing processes.
Computer and Technology Knowledge
  • Proficient in MS Word, MS Office, and electronic mail, with the ability to learn new software and systems quickly.
Work Conditions and Physical Capabilities
  • Ability to work independently, with minimal supervision, and as part of a team, demonstrating strong communication and interpersonal skills.
  • Fast-paced environment, with the ability to work under pressure and meet deadlines.
  • Repetitive tasks, with the ability to maintain a high level of productivity and accuracy.
Experience
  • 7 months to less than 1 year of experience in an administrative role, with a strong understanding of office procedures and protocols.
Support for Newcomers and Refugees
  • Participates in a government or community program or initiative that supports newcomers and/or refugees, demonstrating a commitment to diversity and inclusion.
  • Assists with immediate settlement needs of newcomers and/or refugees, providing support and guidance as needed.
  • Supports social and labour market integration of newcomers and/or refugees, facilitating access to community resources and services.
  • Recruits newcomers and/or refugees who were displaced by a conflict or a natural disaster, demonstrating a commitment to diversity and inclusion.
  • Supports newcomers and/or refugees with foreign credential recognition, providing guidance and support as needed.
  • Offers mentorship programs that pair newcomers and/or refugees with experienced employees, promoting cultural competency and understanding.
Support for Youths
  • Participates in a government or community program or initiative that supports youth employment, demonstrating a commitment to youth development and empowerment.
  • Offers on-the-job training tailored to youth, providing guidance and support as needed.
  • Offers mentorship, coaching and/or networking opportunities for youth, promoting career development and advancement.
  • Provides awareness training to employees to create a welcoming work environment for youth, promoting diversity and inclusion.
Support for Veterans
  • Participates in a government or community program or initiative that supports Veterans, demonstrating a commitment to veteran employment and empowerment.
  • Offers mentorship, coaching and/or networking opportunities for Veterans, promoting career development and advancement.
  • Provides awareness training to employees to create a welcoming work environment for Veterans, promoting diversity and inclusion.
  • Recruits Veterans and other candidates with military experience through targeted hiring initiatives, demonstrating a commitment to veteran employment and empowerment.
  • Assists with immediate transition needs of Veterans, providing support and guidance as needed.
  • Offers workshops, counselling services or other resources to help Veterans navigate their transition into the civilian workforce, promoting career development and advancement.
  • Supports Veterans in translating their military skills and experience into the language of the civilian job market, promoting career development and advancement.
  • Offers flexible onboarding options to allow Veterans to gradually adapt to the civilian workplace, promoting career development and advancement.
Support for Indigenous People
  • Participates in a government or community program or initiative that supports Indigenous people, demonstrating a commitment to Indigenous employment and empowerment.
  • Offers mentorship, coaching and/or networking opportunities for Indigenous workers, promoting career development and advancement.
  • Develops and maintains relationships with indigenous communities, indigenous-owned businesses and organizations, promoting cultural competency and understanding.
  • Provides cultural competency training and/or awareness training to all employees to create a welcoming work environment for Indigenous workers, promoting diversity and inclusion.
  • Facilitates access to Elders who can offer support and guidance to Indigenous workers, promoting cultural competency and understanding.
Support for Visible Minorities
  • Participates in a government or community program or initiative that supports members of visible minorities, demonstrating a commitment to diversity and inclusion.
  • Applies hiring policies that discourage discrimination against members of visible minorities, promoting diversity and inclusion.
