Event Coordinator Job Description

We are seeking a highly organized and detail-oriented Event Coordinator to join our team at Infinity Convention Center. As an Event Coordinator, you will be responsible for coordinating and executing events, conferences, and meetings with a high level of professionalism and attention to detail.

Key Responsibilities:
  • Assist in preparing financial reports and managing event budgets
  • Promote conference and meeting services or special events to clients and stakeholders
  • Develop marketing and communication plans to increase event attendance and engagement
  • Determine requirements for hospitality services, signage, multi-media equipment, printing, and other technical services, and arrange for and manage contracts for these services
  • Arrange for shipping, receiving, and storage of event materials and equipment
  • Co-ordinate and monitor conference and meeting activities and attend to related details
  • Co-ordinate set-ups, staging, seating, parking, communication systems, and other details for special events
  • Plan and arrange for accommodation and transportation services for event attendees
  • Research and design special events programs to meet client needs and expectations
  • Plan for social events and guest programs to enhance the overall event experience
  • Supervise office and volunteer staff to ensure seamless event execution
Requirements:
  • 1-2 years of experience in event planning or a related field
  • College, CEGEP, or other non-university certificate or diploma from a program of 1-2 years
  • Ability to work independently and as part of a team
  • Excellent communication and organizational skills
  • Proficiency in Microsoft Office and event planning software
