Position Overview

As a vital member of the project management team, the Project Coordination Specialist will report directly to the Division Manager. This role involves collaborating closely with an assigned Project Manager to facilitate and execute essential project tasks and objectives. Effective communication with the Project Manager is crucial to ensure that key milestones are consistently monitored and achieved.

Key Responsibilities

  • Assist in the initial setup of projects following the award and estimate handoff, ensuring that the project team, budget, and necessary documentation are prepared for a successful project launch.
  • Contribute to the development of the project execution plan, identifying critical risk paths and milestone schedules for each assigned project. Provide insights on resource allocation to guarantee timely milestone completion.
  • Oversee project modifications in accordance with established change management protocols, ensuring all changes are effectively communicated to both the Client and the project team.
  • Maintain comprehensive project documentation, including the project execution plan, risk register, schedule, health and safety plan, quality plan, and any mandatory project documentation.
  • Report all project expenditures to the Project Manager and ensure compliance with the approved budget. Align man-hour forecasts with assigned projects.
  • Coordinate project materials, equipment, and subcontractor activities to ensure the successful and timely fulfillment of project requirements.
  • Ensure prompt processing of accounts receivable and payable invoices to sustain cash flow.
  • Manage project reporting for both the Client and internal stakeholders, ensuring effective communication among the Client, project team, and stakeholders. Support project meetings under the guidance of the Project Manager, including kick-offs, updates, change orders, recovery plans, and lessons learned.
  • Monitor safety and environmental compliance for each assigned project.
  • Track quality and acceptance criteria for each assigned project.
  • Identify staffing needs for projects, including specialty consultants and subcontractors, and set clear expectations for project team members to ensure successful project delivery.
  • Assist the Project Manager in project closure and post-project evaluations to identify areas for improvement and provide recommendations based on findings.
  • Perform additional duties as assigned by the Project Manager to support the safe and efficient execution of projects.

Qualifications

  • Bachelor's degree in Electrical Engineering, Business, or a related field is required.
  • Project Management Professional (PMP) certification or equivalent is preferred.
  • A minimum of 1 to 3 years of experience managing medium to large full-cycle construction projects is required.
  • Strong problem-solving and analytical skills, with a proven ability to lead a diverse team in a dynamic, deadline-driven environment.
  • Proficiency in MS Project, Primavera P6, HardDollar, and ViewPoint Construction Software is preferred.
  • A valid class 5 driver's license with a satisfactory driving record is required.
