Position Overview: The primary responsibility of the Project Coordinator is to assist the Creative Producers and the creative team in overseeing various projects.

Key Responsibilities:

  • Act as the main liaison for the studio team regarding project management and execution from inception to completion.
  • Engage in the formulation of budgets, timelines, and task lists while ensuring follow-ups are conducted.
  • Oversee both internal and external schedules, resources, deliverables, and the setup of project management tools.
  • Ensure the project progresses smoothly and remains within budgetary constraints.

Candidate Profile: We seek a highly experienced individual with a background in the intricate landscape of entertainment and performing arts. The ideal candidate is a quick learner, demonstrates initiative, and possesses the ability to work independently while rapidly adapting to the role.

Collaboration and Communication:

  • Facilitate collaboration among all project participants to clarify roles, adhere to instructions, and meet deadlines.
  • Work closely with producers and the creative team to receive client briefs and necessary assets.
  • Contribute to budget preparation in partnership with the creative team and producers.
  • Present project objectives to the team and delegate tasks accordingly.
  • Maintain open lines of communication with clients regarding project status and foster trusting relationships.

Project Management:

  • Establish and manage communication tools (e.g., Slack, Frame IO).
  • Monitor content creation progress and track project milestones through regular follow-ups with team members and freelancers.
  • Efficiently allocate work hours in accordance with the budgeted hours for each project.
  • Collaborate with producers and the creative team on accounting tasks (e.g., expense reports, invoicing) and technical aspects (e.g., project guidelines, archiving).
  • Work with management to enhance internal processes.

Qualifications:

  • 3 to 5 years of experience in project management or production within the entertainment and performing arts sector.
  • Proven experience in managing large-scale concert productions.
  • Fluency in both written and spoken French and English.
  • Proficient in MS Office Suite (Word, Excel), the Mac ecosystem, Google Suite (Gmail, Google Sheets, Drive), Slack, Frame IO, Dropbox, and Asana.
  • Experience in team-building with both internal and external resources.
  • Demonstrated ability to manage multiple projects simultaneously and work effectively under pressure.
  • Willingness to work outside of standard office hours.
  • Strong interest in stage arts, creative content development, and digital media.

Work Environment: This role is set within a dynamic and creative atmosphere, characterized by a casual dress code and the availability of daily snacks and beverages.

Skills: Exceptional organizational and management capabilities are essential. Knowledge of content production, video post-production, and emerging media technologies is considered an asset.
