About the Role

The Canadian Cancer Society is seeking a highly skilled and detail-oriented Facilities and Operations Coordinator to join our team in Vancouver. As a key member of our Facilities team, you will be responsible for ensuring the optimal working environment for all staff members, volunteers, and lodge clientele by providing full operational and maintenance services.

You will work closely with the Manager, Facilities and Operations, to oversee all building and facility maintenance requirements for the Vancouver lodge and office. This includes evaluating maintenance requests, setting priorities, and processing work assignments. You will also be responsible for contacting key vendor relationships for all interior and exterior building maintenance, repairs, improvements, contract submissions, permits, and related logistics.

Key Responsibilities
  • Assist the Facilities team in overseeing all building and facility maintenance requirements for the Vancouver lodge and office.
  • Work closely with the Vancouver lodge team for all building maintenance related to lodge operational requirements.
  • Contact key vendor relationships for all interior and exterior building maintenance, repairs, improvements, contract submissions, permits, and related logistics.
  • Evaluate maintenance requests, set priorities, and process work assignments.
  • Complete basic repairs, troubleshooting, and organizing upkeep (painting, basic carpentry and plumbing, and general maintenance type tasks) to coordinate building maintenance-related work in a timely, professional manner and ensure work is completed to good quality standards.
  • Support office and lodge teams with operational office moves, furniture moves, and deliveries.
  • Conduct weekly inspections of the Vancouver building including office and lodge to assess service levels of external providers, safety, tidiness, etc.
  • Coordinate emergency evacuation plans, procedures, and drills in conjunction with the Lodge Manager; act as primary contact and escalate as required.
  • Support office and lodge teams with operational office moves, furniture moves, and deliveries.
  • Support all CCS departments and external partners for all meeting requirements including conferences and retreats, day-to-day operational meeting room setup needs.
  • Be the primary contact to support CCS departments with logistic needs for fundraising and program events including but not limited to Camps, Cops for Cancer, Run for the Cure, Relay for Life, Gala, and daffodil campaign.
  • Primary Lead on Facilities Team with IT dept for consultation for IT office requirements and setup. Support office team with onboarding and offboarding staff to receive notifications and coordinate requirements to the CCS work environment in consultation with HR.
  • Monitor, action, and redirect requests from various departments in the facilities mailbox to support cross-functional organization needs.
  • Actively contribute to our culture of justice, belonging, equity, diversity, and inclusion by ensuring that all staff feel represented and heard regardless of their gender, age, religion, ethnicity, nationality, or race.
  • Backup to Front desk assistance during vacation and times of leave.
Qualifications
  • A Certified Facilities Management diploma or equivalent education or experience.
  • The role requires 3–5 years of general building maintenance exposure with understanding and skills with small repairs, office coordination, etc., and a strong understanding of building infrastructure (mechanical, electrical, etc.).
  • Exposure to and knowledge of applicable legislative and compliance regulations including; the Occupational Health and Safety Act, Fire Code, and Workplace Hazardous Materials Information System.
  • HVAC, electrical, carpentry, and mechanical experience is an asset.
  • Beginner to intermediate Microsoft Office skills and be comfortable learning new systems and database entry (NetSuite).
  • Tech savvy with working knowledge of desk and meeting room set up.
  • Ability to multi-task in a fast-paced, cyclical environment and work with multiple stakeholders across several departments.
  • French speaking and writing would be an asset.
  • Performs tasks requiring light, moderate, and occasional heavy physical exertion.
