Client Services Administrator

Job Overview:
The Front Office Assistant is essential in creating a welcoming atmosphere for clients, visitors, and staff. This position plays a vital role in managing communications and ensuring the efficient functioning of the front office. The ideal candidate will possess strong organizational skills, a friendly demeanor, and the ability to handle multiple tasks in a dynamic environment.
Key Responsibilities
- Reception Responsibilities:
- Welcome and greet visitors with professionalism and warmth.
- Handle incoming phone calls, screening and directing them appropriately.
- Organize and manage appointments and meetings effectively.
- Keep the reception area tidy and organized.
- Administrative Assistance:
- Support various administrative functions, including filing, data entry, and inventory management.
- Manage incoming and outgoing correspondence, including mail and packages.
- Prepare and send both internal and external communications.
- Assist in the planning and execution of office events and meetings.
- Customer Interaction:
- Address inquiries from clients and the public, providing accurate and helpful information.
- Assist clients with general questions and direct them to the right department.
- Handle customer concerns professionally and escalate issues when necessary.
- Office Management:
- Assist in overseeing office facilities, including maintenance and repairs.
- Coordinate with vendors and service providers for office needs.
- Ensure office security by following established protocols and managing access at the reception desk.
- High school diploma or equivalent; an associate degree in business administration or a related field is preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong verbal and written communication abilities.
- Excellent organizational skills with a keen eye for detail.
