Position Overview

The Role:

  • Provide assistance to clients of Wilsons Security with general administrative inquiries through various communication channels.
  • Support recruitment efforts by creating and posting job advertisements, reviewing applications, scheduling interviews, and conducting reference and background checks.
  • Facilitate the onboarding process for new employees, including the distribution and collection of necessary documentation, updating personnel records, and coordinating orientation activities.
  • Assist in managing employee benefits, including enrollments, modifications, and terminations.
  • Prepare HR-related documentation such as employment agreements and termination notices.
  • Maintain and update employee records, ensuring accuracy and compliance through HR management software; conduct audits to verify documentation integrity.
  • Generate insightful reports utilizing HR management software.
  • Address daily HR inquiries from employees and provide guidance on established policies and procedures.
  • Support employee relations and investigations as necessary; aid in conflict resolution.
  • Assist managers and supervisors with employee performance management and the administration of performance reviews.
  • Promote workplace culture and activities, including employee engagement surveys, organizing company events, and other initiatives.
  • Contribute to accurate payroll processing and auditing.
  • Draft internal communications for review and distribution to staff.
  • Support the implementation of HR policies and procedures as required.
  • Schedule meetings, take minutes, and perform other administrative tasks as needed.
  • Uphold confidentiality and discretion regarding sensitive employee information.
  • Assist with HR projects and initiatives as assigned.
  • Manage requests for Certificates of Insurance, Workers' Compensation, and ensure subcontractor declarations are current.
  • Perform other administrative duties as assigned.
Qualifications

  • 1-2 years of experience in Human Resources or Administrative roles.
  • Degree or diploma in Human Resources, Business Administration, or a related field.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively as part of a team.
  • Professional demeanor with the capacity to maintain confidentiality and handle sensitive information.
  • General knowledge of federal and provincial employment standards.
  • Resourceful problem-solver with a solid understanding of HR procedures and policies.
  • Proficient in computer applications, particularly MS Office.
  • Strong attention to detail and accuracy, with good analytical abilities.
  • Able to manage workload effectively in a fast-paced environment.
  • Capable of working independently as well as part of a supportive team.
  • Ability to prioritize and organize multiple tasks efficiently, ensuring timely completion.
