About the School of Graduate and Postdoctoral Studies

The mission of the School of Graduate and Postdoctoral Studies is to assist faculties and programs in delivering high-quality, innovative graduate programs, attracting exceptional graduate students and postdoctoral trainees, and expanding graduate education and professional development at Western.

The professional staff act as a comprehensive resource on graduate matters, accountable to all graduate programs and students.



Key Responsibilities

As a vital member of the senior leadership team, the Director of Administration will provide guidance and oversight for all operational and administrative functions of the School of Graduate and Postdoctoral Studies. The Director will be responsible for developing and executing the School's workforce planning strategies and financial management, contributing to the establishment of the School's strategic objectives. This role will oversee the management of the School's budget and is primarily accountable for preparing the annual operational and capital budget submissions. The Director will monitor administrative functions within a complex campus-wide environment to identify areas for enhancement and implement business processes that mitigate financial, operational, and legal risks to the School. Additionally, the Director will provide strategic leadership to the SGPS operational teams and will manage the allocation of human, physical, and financial resources of the School.



Qualifications

Education:

  • Undergraduate Degree
  • Chartered Professional Accountant Designation
  • Master of Business Administration is preferred

Experience:

  • 10 years of experience in a senior leadership role managing budgets, human resources, and projects, preferably in an academic institution
  • Experience in a unionized environment
  • Proven track record of initiating, leading, and implementing proactive and progressive changes to redesign and enhance business processes, policies, and strategies

Knowledge, Skills & Abilities:

  • Extensive knowledge of financial budgeting principles to develop financial models, forecasts, and analyses, as well as strategic planning processes and Human Resources practices
  • Understanding of Labour Relations
  • Expertise in fostering a collaborative team environment and leading personnel, along with performance development methods
  • Willingness to recognize the need for change and to develop, implement, and lead effective change management strategies
  • Ability to collaborate across internal and external boundaries to achieve common goals, enhance outcomes, and support initiatives beyond one's own unit
  • Strong communication skills to engage with, write reports for, and deliver presentations to all organizational levels
  • Capacity to handle sensitive information with confidentiality, considering financial, political, regulatory, and reputational implications
  • Innovative and adaptable critical thinking skills to implement new processes or technologies for the University's benefit
  • Ability to leverage diverse skills, backgrounds, and knowledge to achieve more effective results
  • Strong organizational skills to manage details accurately and prioritize a high volume of work to meet deadlines
  • Proactive in identifying opportunities, developing action plans, and setting ambitious goals to achieve desired outcomes
  • Ability to swiftly reallocate resources and adjust priorities in response to unforeseen events or changing circumstances
  • Judgment, analytical, and problem-solving skills with a consultative and collaborative approach to addressing challenges and opportunities
  • Advanced proficiency in Microsoft Office Suite
  • Leadership capabilities to inspire employees and cultivate a shared vision to guide a team towards excellence
  • Ability to recommend controls to manage operational and legal risks
  • Project management skills to align initiatives with strategic goals and operational objectives
  • Capacity to develop strategies that align with the University's mission while balancing competing priorities

  • Familiarity with University policies and procedures is preferred
