Position Overview

As a Senior Legal Assistant, you will undertake a range of legal support and administrative responsibilities tailored to the needs of assigned attorneys, particularly within a civil litigation and insurance defense context. This role necessitates a solid understanding of legal principles, terminology, and procedures. You will also assist with general office tasks and perform additional duties as required. This position does not involve managing personnel.

Key Responsibilities

Prepare various legal documents, including but not limited to pleadings, discovery materials, mediation documents, and motions, ensuring accuracy and timeliness. Draft and manage correspondence while reviewing incoming communications to assess urgency and collaborate with attorneys accordingly. Provide essential telephone support, addressing routine inquiries from callers. Organize and maintain attorneys' calendars, ensuring diary and tickler dates are accurately tracked. Review the calendar daily to proactively manage upcoming events and determine deadlines for pleadings. Input and maintain data in the proprietary case management system, ensuring the integrity of information. Organize and index all case files for attorneys, filing correspondence, pleadings, and other documents promptly and accurately. Schedule and coordinate Examinations for Discovery, medical assessments, and other court-mandated hearings. Engage court reporters and interpreters as necessary. Serve as a liaison between insured parties, claims professionals, and the legal office, facilitating information exchange and assisting in report completion. Execute additional duties as assigned.

Ideal Candidate Qualifications

Associate's Degree or vocational training in legal assistance preferred. A minimum of 6 years of experience as a Legal Assistant is preferred, or a proven track record of high-level performance. Prior experience in a corporate environment is preferred. Familiarity with insurance defense litigation is advantageous. Exceptional written and verbal communication skills. Strong interpersonal abilities to interact with court personnel, attorneys, clients, witnesses, and external vendors. Proficient in MS Word, MS Outlook, Excel, and PowerPoint. Highly skilled in using case management systems and other relevant software applications. Comprehensive knowledge of the Rules of Civil Procedure. Strong grasp of legal terminology, local court rules, and adherence to office protocols. Ability to assess urgency and prioritize tasks effectively. Capable of managing time efficiently and multitasking. Demonstrated problem-solving skills through innovative approaches to task completion. Ability to maintain professionalism under pressure and adapt to evolving situations and priorities. Competent in working independently as well as collaboratively within a team. Excellent organizational skills. Proficient in operating business machines such as photocopiers and scanners.

Required Qualifications

High School Diploma or equivalent is mandatory.
