The Receptionist/ Care Coordinator plays a vital role in establishing a positive connection between the clinic and its clientele, which includes patients, staff, funding agencies, and referral partners. This is accomplished by delivering efficient administrative assistance and orchestrating clinic operations with a friendly, enthusiastic, and professional demeanor towards all patients, team members, and external stakeholders.

The Receptionist is accountable for all facets of patient onboarding, data management, handling phone inquiries, making outbound calls, processing faxes and emails, managing referrals, as well as billing and payment collection.

Key Responsibilities

Manage incoming calls, welcome patients and visitors upon arrival, and ensure outstanding customer service for all inquiries or issues Facilitate referrals for various client categories Ensure a thorough and precise intake of information during the patient's initial visit and throughout their treatment journey Assist patients in completing necessary documentation at the clinic to minimize errors and ensure accurate information Oversee the scheduling of patient appointments and maintain comprehensive medical records Collect payments at the time of service Monitor coverage for all funding sources to confirm authorization Conduct data entry and billing processes Manage courier shipments (incoming and outgoing) and handle email, mail, and fax communications Provide administrative support to the Care Coordinator Manager and Clinic Director

Qualifications & Core Competencies

High School Diploma, G.E.D. or equivalent Exceptional customer service abilities and telephone manners Strong organizational skills with the capacity to prioritize and manage multiple tasks Excellent communication (verbal/written) and interpersonal abilities Proficient computer and data entry skills Adaptable and open to change Experience in a physiotherapy setting is advantageous Willingness to work on a flexible schedule
