Administrative Assistant / Transaction Coordinator

As a Transaction Coordinator and Administrative Assistant, you will play a vital role in ensuring seamless transactions, efficient office operations, and outstanding client experiences. Responsibilities

- Transaction Coordination – Manage and track real estate transactions from offer to closing, ensuring every detail is handled accurately and efficiently.

- Administrative Support – Assist brokers with scheduling, paperwork, and client communications.

- Client Care – Ensure a smooth experience by coordinating timely follow-ups, maintaining organized processes, and supporting clients and brokers throughout their transactions.

- Marketing Assistance – Help prepare listing materials, coordinate photography and videography, and update online listings.

- Office Coordination – Maintain a well-organized, professional, and efficient office environment.

Qualifications

- Experience in real estate administration, transaction coordination, or a related field is an asset but not required.

- Strong attention to detail and organizational skills, with the ability to manage multiple tasks simultaneously.

- Excellent communication skills, with a friendly, professional, and proactive approach.

- Fully bilingual (French and English) with excellent spoken and written grammar.

- Tech‑savvy, with experience using real estate CRMs, MLS systems, and digital organization tools.

- A problem solver who takes initiative and ensures tasks are completed efficiently.
