Toronto, Canada HighlightTA Full time

At HighlightTA, we’re your on-demand talent team. We simplify hiring by embedding experienced talent partners directly into client teams, running high-impact searches, or managing end-to-end talent functions. Our data-driven, flexible model helps startups and scaling companies hire world-class talent quickly and sustainably.

We’re looking for a Recruitment Coordinator who’s the glue that keeps everything running smoothly. You’ll make sure interviews happen on time, communication is clear, and candidates have an excellent experience from the first message to offer.

If you’re someone who loves bringing order to chaos, spots mistakes others miss, and takes pride in creating seamless experiences, this might be the perfect fit for you.

What You’ll Do

You’ll work closely with our talent partners to keep processes tight, organized, and moving quickly. Your day-to-day will include:

- Scheduling interviews across multiple roles, clients, and time zones

- Posting and refreshing job ads across LinkedIn and other platforms

- Reviewing job descriptions and creating scorecards

- Preparing and sending offers

- Keeping candidate records and stages accurate in Ashby

- Managing communication between clients, candidates, and internal teams (both phone and email)

- Troubleshooting scheduling or process challenges to keep things on track

- Helping refine workflows, templates, and reports for smoother operations

- Creating an amazing candidate experience throughout every interaction

Who You Are

You’re the type of person who makes things happen. Calm under pressure, sharp on details, and always a few steps ahead.

- You’re detail-oriented and take pride in catching small mistakes before anyone else does

- You care deeply about creating an exceptional candidate experience

- You’re highly organized and thrive when juggling multiple tasks and priorities

- You move fast, stay proactive, and never let things slip through the cracks

- You communicate clearly, confidently, and with warmth

- You like being the go-to person who keeps everyone on track

- You have 1–2 years of experience in recruiting coordination, HR support, or operations

- Bonus if you’ve worked with an ATS (especially Ashby) or managed scheduling across multiple clients or teams

Why You’ll Love Working With Us

- 100% remote and flexible – work from anywhere

- Fast-moving, collaborative team that values ownership and trust

- Exposure to a range of clients, industries, and hiring models

- Clear growth path into sourcing or full-cycle recruiting

- Competitive compensation and lots of opportunity to learn

How We Hire

We use AI tools to support our recruitment process, including helping us organize applications and identify early matches based on role criteria. That said, every rejection decision is made by a human. We encourage candidates to apply authentically and avoid relying solely on AI-generated responses, especially during interviews.
