**Position Summary**

Gift Administrator, Annual Giving is responsible for ensuring all donation received from Annual Giving program solicitation is recorded accurately and timely. They include donations processed by DM processing vendor and by Gift Administration Assistant. The incumbent is responsible for creating and updating import mapping files using 3rd party products such as Import O’Matic or standard Raiser’s Edge import module for efficient processing of donations,generating accurate weekly tax receipt data files for fulfillment house and ensuring data integrity is maintained by conducting regular reviews and validations.

**Responsibilities**:

- Daily review, validation and importing of constituent and financial data by DM processing vendor and Gift Administration Assistant. These include cheques/cash and credit card donations from remote deposit, from Raiser’s Edge and from Internal Donation Forms.
- Processing of one-time credit card donations from Annual Giving source using internal Credit Card Donation Forms submitted by staff.
- Assigning of Canada Revenue Agency compliant tax receipts from Annual Giving source in a timely manner.
- Ensuring tax receipt register for receipts issued from Annual Giving source is kept up to date and receipts accounted for.
- Completes gift adjustments and issue replacement or corrected tax receipts as required.
- Ensuring timely daily revenue reconciliation of financial data (those from DM processing vendor and Gift Administration Assistant) between Raiser’s Edge and bank is complete.
- Preparing and assisting in regular and ad hoc revenue related financial reports from Raiser’s Edge.
- Ability to map import file templates from various offline platforms for Raiser’s Edge import.
- Ensuring various features of Import O’Matic are implemented and updated related to Annual Giving donation processing as well as procedure documentation.
- Provide timely responses to DM processing vendor and internal staff related to Annual Giving donations processing, revenue allocation and receipting.
- Updating of various procedure documents and manuals as process changes occur.
- Timely download of scanned image files from DM processing vendor in Share Point Online to meet Books and Records policy.
- Provide data, gift entry and internal PPSG training to those who request and require including DM processing vendor and Gift Administration Assistant.
- Perform quality checks on data files from DM processing vendor and provide regular status reports to internal team and management.
- Provide support to Gift Administration team in various aspects of day to day operations as well identifying solutions that would provide efficiencies, reduce redundancies and implement new solutions related to gift recording and receipting identified by NCC.

**Other support functions**
- Assist Manager, Gift Administration and Director, Data and Gift Administration & Compliance as required.
- Working closely with Senior Gift Administrator: Digital Marketing, Major Gifts Coordinator, Monthly Gifts Coordinator and Gift Administration Assistant and provide back up during absences.
- Assist in Annual audit and Annual Charities Return preparation.
- Other ad hoc projects and duties as assigned by Director, Data and Gift Administration & Compliance and/or Chief Financial Officer
- Assists with general administrative duties as required.

**Required Skills and Attributes**
- Minimum College diploma or equivalent
- Strong working knowledge of Raiser’s Edge
- 2-3 years of data and gift entry experience
- Accurate and efficient data entry skills
- Strong organizational and time management skills
- Excellent written and verbal English communication skills
- Excellent knowledge of Canada Revenue Agency’s receipting rules
- Familiarity with fundraising and accounting practices and procedures
- Flexible and able to work under pressure and ability to meet deadlines
- Experience and/or demonstrated interest in non-profit sector
