**Description**

**Risk Management **within **VP Finance** is currently seeking a Full-time Regular **Coordinator, Risk Programs**.

Reporting to the Sr. Manager, Risk Management & Insurance, the Coordinator, Risk Programs is responsible for the coordination and administration of key risk management programs at the University of Calgary. This position has primary responsibility for coordination, administration, and delivery of day-to-day Risk Management services on the International Travel Registration system, the Driver's Registration system, and certificates of insurance. Considerable discretion is required as this position is privy to and works with Privacy - Level 3 information.The Coordinator, Risk Programs is also the primary point of contact for the department answering and redirecting inquiries as necessary. This position provides direct support to the Sr. Manager, and Sr. Director, Risk Management & Insurance and provides administrative support for the Risk Management & Insurance department. They will also provide back-up support to other members of the team as required.

**Summary of Key Responsibilities** (job functions include but are not limited to):
Driver's Registration System
- Responsible for the day-to-day delivery of service and operations on all aspects of the Driver's Registration system including the review of driver abstracts, approving governmental forms, updating the database, providing final approval to drivers, processing reimbursements, and ensuring that all information is archived and deleted/shredded as per the Retention Policy.
- Identifies and brings forward any process issues.
- Updates directions and process documents as changes occur.
- Compiles Drivers statistics and provides reporting upon request.
- Supports departments with managing their Driver's approvals.

International Travel Registration System
- Responsible for the day-to-day delivery of service and operations on all aspects of the International Travel Registration system, including the daily review and update of country risk ratings with respect to the Government of Canada reporting, tracking approval processes, and acknowledging receipt of waivers and other documentation.
- Act as first point of contact for students and employees/faculty and for external inquiries about the program.
- Provides advice on travel briefings, including obtaining specialized briefings from partners.
- Compiles International travel statistics and provides reporting upon request.
- Assists with presentations on campus.
- Participates in meetings on group and individual travel registrations.
- Assists individuals and groups with registrations, often time-sensitive.
- Contacts international service providers for destination risk information.
- International emergency identification and notification to Sr. Manager and Sr. Director.
- Prepares and provides management with emergency reports when an incident occurs in a country where there are travelers.
- International emergency response as directed by Sr. Manager or Sr. Director.
- Communicates/ collaborates with Study Abroad on International emergencies and RAISA upload issues.
- Communicating with IT to resolve system issues.
- Completes other projects and recommends enhancements related to the Travel Registration system as needed.

Primary Administrative Duties:

- Key front office contact. Identifies and escalates matters requiring urgent attention.
- Organizes meetings.
- Administrative support for committees chaired by Sr. Director or Sr. Manager.
- Administrative support to the Enterprise Risk Management (ERM) program including scheduling meetings, preparing agendas, sending follow up correspondence and assistance with report preparation.
- Reviews Incident and OARS reports, directing these appropriately.
- Receiving and filing event reports.
- Court searches for litigation review.
- Updating RMI Business Continuity Plan.
- Records Coordinator and Archiving non-financial files.
- Assisting with updating claims files and filing to the network.
- Maintains accurate minutes for departmental meetings as well as project meetings initiated by the Sr. Manager or Sr. Director and ensuring that action items are recorded and tracked.
- Updating Hazard Assessments for department - annual update - and updating OHSMS Binder.
- Provides administrative and clerical support to the Sr.Manager, Risk Management & Insurance, the Sr. Director, and the RM&I team.
- Issues and tracks Certificates of Insurance (CofI's)
- Schoolboard, Scouts and Girl Guides sub-agreements - receiving, tracking, signatures and return.

- Unmanned Aerial Vehicle registrations and label ordering.
- Volunteer Program - Receiving inquires and answering questions.
- Payment requests and Qualtrix surveys.
- Sharepoint assistance and RMI webpages.
- Distribution of waivers and informed consents.
- Student WCB information.
- Assists with data gathering and organizing Insure
