**The Role**:
We are looking for an enthusiastic Office Administrator to join our Toronto team. This role will be required to be in the office for a minimum of 3 days per week, with flexibility as the business requires. Reporting to the VP, Communications & HR, you will be responsible for fulfilling all of the office’s administrative needs while collaborating with your fellow teammates. You are a hard-working individual and love creating a positive work environment where things run smoothly for the team.

**What you will bring to this role**:

- 2-4 years’ experience as an administrative assistant, receptionist or administrative assistant
- Post-secondary education; a diploma or degree in administrative studies is a strong asset
- Excellent written and verbal communication skills
- Familiarity with office management procedures and basic accounting principles
- Ability to anticipate and proactively manage tasks and problem solve
- Excellent organizational skills with the ability to prioritize and multi-task
- Strong attention to detail
- Ability to work under pressure with multiple deadlines and frequent interruptions
- Confidence and ability to complete projects with mínimal direction
- Proficiency in MS Office including Excel, PowerPoint, Outlook and MS Teams.

**What you will do in this role**:

- Oversee and coordinate office administrative procedures and review, evaluate and implement new procedures
- General office organization including ordering supplies, keeping areas clean and maintaining relationships with clerical vendors and landlord
- Plan and coordinate cost-effective corporate travel arrangements for individuals and groups
- Complete/reconcile expense reports and office credit card reports, adhering to internal policies
- Provide friendly and welcoming support to on-site visitors
- Assist with planning and coordination of client meetings/events and socials
- Assist Marketing & Comms team on corporate event planning
- Prepping meeting rooms and arranging catering requirements for internal and external meetings
- Assisting with mail delivery - receiving, scanning, forwarding, and filing
- Manage auto-attendant phone system
- Resolve office-related malfunctions and respond to requests or issues
- Manage corporate memberships and subscriptions including payment and renewal
- Troubleshooting technical issues that may arise during meetings/presentations
- Assist with other tasks as required
