**Position Summary**

We are seeking an **AP Clerk & Office Administrator** to join our growing team As **AP Clerk & Office Administrator**, you will provide support for the AP function, while also taking on key office administrative tasks and serving as the first point of contact for visitors to our site. This position is ideal for someone with experience in customer-facing roles & AP, who has high attention to detail, and is eager to contribute to a fast-paced, collaborative environment.

**Duties and Responsibilities**

**Primary**

Accounts Payable
- Input and prepare invoices for payment review.
- Match invoices to purchase orders and receiving documents.
- Code invoices with correct general ledger accounts and cost centers.
- Respond to vendor inquiries regarding payment status.
- Reconcile vendor statements and resolve discrepancies.
- Support audits by providing required documentation and reports.
- Send out cheques in a timely manner.
- Maintain confidentiality of all financial data.
- Coordinate with key personnel to expedite critical payments.
- Maintain ERP data accuracy by identifying and communicating issues in a timely manner.

Office Administration
- Act as first point of contact for those visiting and attending the Company’s site by providing excellent and professional customer service.
- Oversee and update the reception welcome sign.
- Sign in and out all guests and contractors.
- Oversee sourcing and ordering of office supplies weekly and ad hoc as needed.
- Answer phone, screen, and direct calls.
- Develop and maintain positive working relationship with internal and external stakeholders.
- Act as back-up for small outbound shipments in absence of logistics function.

General
- Follow all applicable standard operating procedures (SOPs) to maintain safety, quality and compliance with regulatory requirements.
- Participate in and provide suggestions for the development and continuous improvement of all departmental processes

**Additional**
- Participate in and further the Company’s health & safety program.
- Report equipment malfunctions immediately.
- Report quality deficiencies immediately.
- Offer suggestions for process improvement.
- Other related duties.

**Qualifications**

**Knowledge**
- Fluent in verbal and written English.
- 1 year of experience in accounts payable.
- 1 year of experience in a customer-facing role.
- 1 year of experience in an administrative position.
- 1 year experience using Quickbooks or equivalent accounting software.
- Exposure to ERP systems.

Assets
- Bachelor’s degree in accounting or business management.
- Familiarity with Good Manufacturing Practices (GMP).

- Proficient in the basics of mathematics (adding and subtracting).
- Basic proficiency in using computers.
- Basic proficiency in using the Microsoft Suite (Word, Excel, PowerPoint, Outlook).

- Must follow appropriate gowning procedure before going into production area.
