**Job Summary**:
The Brand Marketing and Event Coordinator is responsible for planning, coordinating, and executing events that align with the company’s strategic objectives. This is a cross-functional role that will interact with the executive office, sales, finance, engineering, and customer support. The role is responsible for planning, coordinating, and executing a variety of corporate events, including internal/employee events, air shows, conferences, trade shows, product launches, media events, and corporate meetings. This role demands an organized, detail-oriented, and creative individual with strong communication skills and the ability to manage multiple complex events simultaneously. The coordinator will work closely with internal departments, stakeholders, and external vendors to ensure the successful execution of events.
**Key Responsibilities**:
- Liaise with venues, vendors, and suppliers
- Coordinate and draft event flow documents.
- Coordinate and draft event communication, including maintaining and updating corporate attendee records, invitations/tickets, responses, and managing and maintaining the meeting/event schedule.
- Coordinate and maintain the event meeting schedule for DHC.
- Support the brand team to execute exceptional client experiences from conception through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases.
- Build and maintain a comprehensive database of industry contacts, vendors, and venues.
- Work within the event budget, assist with processing of invoices and payments through concur, ensure timely payments to vendors, and manage the event budget and expenses.
- Maintain and update De Havilland Event Coordination Guide; ensuring all relevant contacts (venues, vendors, suppliers, and prime contractors), event information, drawings, contracts, contacts, and processes are recorded and maintained for each of the above events.

- Minimum of 2-4 years of experience in corporate event planning or coordination.
- Proven track record in planning and executing successful corporate events, including conferences, meetings, and large-scale functions.
- Skills:
- Strong organizational and project management skills.
- Excellent written and verbal communication skills.
- Ability to multitask and manage several projects simultaneously.
- Strong negotiation and vendor management skills.
- Proficiency in event management software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Attention to detail and problem-solving abilities.
- Ability to work under pressure and meet tight deadlines.
