Job Summary:
**Duties**:

- Manage office supplies inventory and place orders when necessary
- Assist in organizing and scheduling appointments
- Handle incoming calls and other communications
- Support the HR department with administrative tasks
- Assist in payroll processing using QuickBooks
- Coordinate training development programs for employees
- Oversee vendor management and maintain relationships with suppliers
- Supervise front desk duties and provide clerical support

Position Summary

This position is located at the office of the Poultry Industry Council in Puslinch Ontario. Reporting directly to the Executive Director, this role is tasked with organizing and executing all administrative functions essential for the smooth functioning of PIC’s Office and business operations. It also involves overseeing and coordinating administrative tasks crucial for maintaining PIC's charitable status.

This position also collaborates with the industry through membership and sponsorship outreach efforts, which include managing a list of contacts, securing funding for events, and implementing strategies for membership renewal and retention. Additionally, this role actively contributes to the planning and execution of strategic events in coordination with other members of the PIC team.

This position is integrated into the broader PIC team and collaborates closely with both the Executive Director and other team members to ensure successful task completion.

Key Responsibilities
- Responsible for all aspects of daily office management including implementing maintaining office administrative systems and procedures
- Provide strong administrative support empowering team members to perform their jobs productively and efficiently
- Maintain a master calendar of company events and conference room bookings
- Keep all office supplies stocked and equipment in working order
- Liaise with the industry and maintain good working relationships with our member and sponsor network
- Assist with corporate initiatives coordination for National Poultry Show and Charity Golf Tournament

Qualifications and Skills
- Detail oriented
- Strong organizational skills including the ability to manage multiple tasks, schedules and calendars and strong ability to comfortably multi task and shift gears throughout the day
- Agricultural background or experience in agriculture or poultry industry considered an asset
- Highly motivated and works well alone and in a group setting with a team
- Proficiency with basic office equipment and office management software
- Strong interpersonal skills both in person and virtually
- Bookkeeping, budget creation experience considered an asset
