The Professional Institute of the Public Service of Canada, a national union representing some 70,000 professionals and scientists throughout Canada, requires an **Administrative Assistant** in its Members Services section at its National Office.

**The Position**:
Under the direction of Director, Corporate Services, and the functional supervision of the Team Lead, Member Services, the Administrative Assistant provides administrative services to meet department objectives. This position coordinates the administrative requirements for the department such as file management, document preparation and distribution, process workflows, meeting and event administration and general inquiries.

Responsibilities also include:

- Assist with administrative tasks, such as meeting arrangements, event logistics, meeting agendas and minutes, and data entry
- Monitor and respond to enquiries from internal and external clients, convey relevant information and correspondence to the appropriate team members based on a defined assignment matrix through use of a ticketing system.
- Assist in the creation and maintenance of an internal knowledge base (KB) system.
- Compose, format and package template responses and gather complementary information from online/internal documents to convey relevant information to members.
- Assign, create and maintain constituent body structure along with group executive listings for all constituent bodies within applicable systems and tools, and provide reporting to internal stakeholders for use (i.e. payment of annual allowances).
- Perform annual billings for retired and affiliate members and members on leave without pay.
- Conduct research and analyze data on assigned projects to identify and recommend administrative and process enhancement solutions.
- Review, update and maintain information and documentation on the intranet site and on various shared information portals and databases pertaining to member services.
- Participate in multi-disciplinary teams assigned to special projects and work collaboratively with employees in other sections.
- May be required to provide backup for other similar level positions.
- May be requested to undertake other related duties on a periodic basis.

**How do I qualify?**
- Completed secondary school or equivalent.
- Two (2) to three (3) years’ experience in performing secretarial, clerical, and administrative duties, or an equivalent combination of education and experience.
- Fluency in both French and English is **required.**

The Administrative Assistant requires:

- Knowledge of office management
- Knowledge of file management
- Experience researching, analyzing information to prepare reports, letters and related documentation
- Experience providing administrative support to a team
- Experience coordinating and maintaining electronic and manual filing systems
- Experience coordinating and implementing meeting and event logistics
- Experience preparing meeting agendas and taking minutes for distribution
- Experience preparing reports, correspondence, and other documents
- Computer skills and experience with word processing and communication tools
