**About the workplace**
This is a permanent, full-time role that will enjoy hybrid working arrangements which can be fulfilled primarily from the Vancity head office location and your Lower Mainland based home office. Periodically, you’ll be required to attend in-person activities or events.
As a Executive Coordinator, you will play a critical role in creating capacity for the VP Strategy, Innovation, and CEO's Office by both providing core executive assistant services, as well as necessary coordination of regular calendar events hosted by the CEO's Office across the Strategy Team and Governance Team.
**Role Responsibilities**:
- **Core Executive Assistant Services** - Provide EA services to the VP Strategy, Innovation, and CEOs Office as well as coverage to the CEO’s Sr Executive Assistant while on holidays. Sample activities include calendar and inbox management, travel bookings, expense management, ordering office supplies, and handling written and verbal communication and filtering requests so that the Executive’s time is allocated effectively according to the standards set by the executive.
- **Onsite and Offsite Event Coordination** - Deliver on key logistics and administrative activities for events and meetings hosted by the CEOs Office (which includes the Governance Team, and the Strategy team). Sample events include Board/Committee meetings, Senior Leadership meetings, ELT meetings, etc. Coordination tasks include venue/vendor/speaker bookings, catering, expense management, meeting room setups/cleanups, etc.
- **Amplify capacity of teams across CEO’s Office **- Bring capacity to work of Governance Team, Strategy Team, or CEO’s Office where appropriate in undertaking desk research, contributing to material development such as building or reviewing written reports, or PowerPoints, building agendas, updating KPI trackers for performance against plan, or other materials for meetings.
- **Diplomacy and strong communication skills** - given the high-profile nature of meetings and stakeholders that will be required to engage with on a regular basis (ie. CEO, ELT, Board of Directors, external parties scheduling meetings with the CEO or CEO’s office, etc.) the Executive Coordinator is responsible for ensuring professional and diplomatic written and verbal communications are upheld in all communications and work.

- A minimum of 3-5 years of experience in administration, coordination, and/or event planning.
- An undergraduate degree in a related field.

- Exceptional communicator - Great interpersonal skills, with you are comfortable communicating with stakeholders in different levels of the organization. Demonstrate confidence and provide highly specialized technical expertise and advice.
- Organized - You have the planning and coordination skills to develop operating plans, processes, methods and standards for a unit and to coordinate delivery of programs and services.
- Natural problem solver and decision-maker - You lead diagnosis of challenges, find business solutions, and assess risks and opportunities. You make timely decisions. business, financial and member impacts, and to identify viable solutions.
- Critical thinker: You understand the big picture objective and able to dive deep into data and details to ensure quality and accuracy of deliverables are met.
