Job Description:
Position Summary:
The Administrative Assistant will work closely with the Executive Director, providing both personal and administrative support to manage day-to-day operations, scheduling, communications, and project coordination. This role requires an individual who is highly organized, proactive, and capable of managing multiple responsibilities in a fast-paced environment.

Key Responsibilities:

- Calendar and Schedule Management: Organize and manage the Executive Director’s calendar, scheduling meetings, appointments, and travel arrangements.
- Communication Liaison: Serve as the primary point of contact for internal and external communications on behalf of the Executive Director, ensuring timely responses and follow-ups.
- Document Preparation: Draft, edit, and manage correspondence, reports, presentations, and meeting materials.
- Project Coordination: Assist in the planning and execution of healthcare facility projects, including coordinating with clinic staff, vendors, and partners.
- Meeting Support: Organize meetings, prepare agendas, take minutes, and ensure follow-up on action items.
- Travel Arrangements: Coordinate domestic and international travel, including flights, accommodations, and itineraries.
- Expense Management: Track and submit expense reports for reimbursement and ensure timely processing of invoices On QuickBooks.
- Research and Reporting: Conduct research and compile data for projects or reports as needed.
- Personal Assistance: Provide occasional personal support to the Executive Director, such as running errands or managing personal appointments.

Qualifications:

- Proven experience as a Personal or Administrative Assistant, preferably in a healthcare or related environment.
- Excellent time-management skills and the ability to prioritize work.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with cloud-based tools (e.g., Google Workspace, Slack, Trello).
- Ability to maintain confidentiality and handle sensitive information.
- Strong organizational skills and attention to detail.
- Flexibility and adaptability in a fast-paced environment.
- Knowledge of healthcare operations or tele-radiology is a plus.

Additional Requirements:

- Ability to work remotely with travel as required.
- Availability to handle urgent tasks outside normal business hours when necessary.

Pay: $17.00-$20.00 per hour

**Education**:

- Secondary School (preferred)

**Experience**:

- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)
