**Responsibilities**:
Reporting to the Director of Customer Experience and Process Improvement, the
**Operations Coordinator/Executive Assistant** will have the following responsibilities:
- Manage the end-to-end process of Capex proposals, including gathering documentation from the regional management team, building proposales and revising proposals.
- Organize and facilitate monthly Capex meetings with the executive team, including creating meeting agendas, preparing a power point presentation, and addressing questions or requests.
- Maintain accurate records of approved projects, process invoices, create purchase orders, and collaborate with regionals to ensure timely completion of projects.
- Coordinate the monthly store planning calendar by collecting submissions from various business units, ensuring organization and readability for the stores, identifying and reporting missed rollouts, and making necessary revisions to the calendar as required.
- Coordinate and facilitate the weekly feedback call, including roster management, question collection, note-taking, and distributing the responses and questions to relevant departments.
- Collect and compile responses from departments, ensuring their timely submission and successful feedback to store teams.
- Maintain and update the Feedback Call Action Register, ensuring it reflects new points from the feedback call, tracking responses and updates, organizing filed responses and distributing the most recent versions to departments and the Executive team.
- Facilitate the testing for new system changes in collaboration with IT. Creation of standard operating procedures (SOPs) for new system changes in collaboration with the IT department. Effectively communicate and engage with the regional management team to involve them in the testing process and gather their valuable feedback.
Qualifications:
- Strong organizational and multitasking skills
- Excellent attention to detail
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong communication and interpersonal skills
- Ability to work independently and as part of a team
- Prior experience in Capex coordination, operations coordination or a similar role is preferred
