**Work schedule: Monday - Friday, occasional evenings and weekends**

**Tasks and Responsibilities**:
The Special Events Assistant supports the Varley-McKay Art Foundation of Markham’s Development Officer in planning, organizing and delivering fundraising and special events. The Special Events Assistant will provide administrative support to meet expected revenue targets. This entails communications with sponsors and donors, acting as a liaison between the Development Officer and the fundraising planning committee to market and promote the events. Other responsibilities include securing monetary and in-kind donations, accurate tracking of donor information, coordinating event vendors and volunteers.

The Varley-McKay Art Foundation of Markham supports the Varley Art Gallery as a vital cultural hub in the GTA. Our mandate is to support the Varley Art Gallery’s strong visual arts program through our activities and investments. We provide funding to assist with art acquisitions, the conservation of the Gallery’s art collection, educational programming and exhibition research. We also administer the volunteer program on behalf of the Varley Art Gallery, providing additional support for their programs and events.

**Duties include**:

- Working with sponsors, donors, community business owners and patrons who support the Varley-McKay Art Foundation of Markham
- Coordinating event processes
- Creating, preparing and distributing event committee meeting minutes and supporting documentation
- Providing detailed event progress reports to the Development Officer
- Developing a social media marketing campaign to promote special events
- Providing administrative support to the Development Officer
- Accurate sponsor, donor and patron record keeping
- Providing training to Varley-Mckay Art Foundation of Markham board members and Varley Art Gallery staff for the promotion of events and registration information
- Coordinating guest lists
- Liaising with entertainment providers
- Other duties as assigned

**Requirements**:

- Relevant experience in Fundraising and Event Management, Marketing, Public or Community Relations, visual arts, art history, arts administration, museum studies or a related field
- Have good knowledge of and keen interest in special event, fundraising and donor practices
- Have a proven ability to communicate effectively in English
- Ability to work with mínimal supervision
- Be comfortable interacting with members of the public and committee members
- Clear and valid Police Vulnerable Sector Check

**Note**: This position is contingent to grant funding received through Canada Summer Jobs.
- Be between 15 and 30 years of age at the start of the employment (age requirement needed for this role as part of government recruitment);
- Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the _Immigration and Refugee Protection Act_; and,
- Be legally entitled to work in Canada in accordance with relevant provincial/territorial legislation and regulations.
