Reporting to the Management Supervisor, Liquor Programming and Experience, the Liquor Experience Coordinator is responsible for coordinating and implementing assigned experience plans. Experiences may include Liquor Mart promotions, Manitoba Liquor & Lotteries festivals, tasting events and other types of special events as assigned, both physical and digital. The position acts as a liaison with industry & non-industry suppliers, internal stakeholders, charitable and non-profit organizations, and has a high degree of interaction with customers during experience execution and post-experience follow-up. This position will provide support to the Programming and Experience team as a pivotal role in our ability to achieve our strategic objectives (perform profitably and sustainably, champion innovation, be progressive and engage Manitobans) as well as continue to grow successful experience activity for both internal and external channels.
**Duties**:
- Plan, coordinate and implement the tactical elements of assigned experiences in accordance with approved experience plans, policies and procedures.
- Provide constructive pre/post-experience feedback and ROI analysis to the Management Supervisor, Liquor Programming and Experience to identify opportunities for future experiences.
- Evaluate and coordinate the acquisition of liquor related auction contributions.
- Review inventory requirements with Supply Chain, place and track purchase orders and reconcile inventory.
- Create and maintain product lists for festivals and experiences.
- Communicate experience details to Liquor Marts and industry partners.
- Coordinate the distribution of experience merchandising materials.
- Participate and advise committees responsible for organizing all related experiences.
- Book venues, coordinate rooms/areas and draft floor plans required for experiences.
- Procure, set-up, and remove creative and engaging displays in accordance with approved experience plans to maximize exposure and drive attendance/participation.
- Procure experience prizing, décor, supplies and other experience elements within established budgets and in accordance with Manitoba Liquor & Lotteries purchasing policies.
- Coordinate and communicate experience logistics with operational partners.
- Maintain complete records and accurate experience files and contract files with industry partners.
- Review products and quantities for approved Supplier Trade Show Discount experiences.
- Organize and coordinate liquor orders for major experience sponsorships.
- Ensure all Liquor Gaming and Cannabis Authority of Manitoba festival and experience requirements are being adhered to.
- Work closely with other members of the Programming and Experience team, industry & non-industry suppliers, internal stakeholders (Retail Operations, Commercial Retail Partners, Supply Chain and Marketing departments) as well as charitable and non-profit organizations, to execute the role of experience in the Liquor Mart overall strategy.
- Ensure all experiences are conducted with the highest degree of integrity and follow established policies, procedures, and guidelines.
- Identify experience costs and monitor budgets for each program.
- Administer program plans and communicate to all stakeholders.
- Conduct stakeholder meetings and send out communiqué relevant to coordination of experience and program specific activities.
- Collaborate with other departments and stakeholders in order to align activities that support driving incremental revenue and profits.
- Participate in annual scheduling/budgeting process.
- Ability to work a variety of shifts based on the requirements of a twenty-four (24) hour per day, seven (7) day per week operation.
- Other duties as assigned.
**Primary Qualifications**:
- Certificate/Diploma in a recognized Experience Planning or Marketing program, or an equivalent combination of education and experience.
- A minimum of three (3) years demonstrated experience in event/festival coordination.
- Ability to demonstrate flexibility, and effectively working both independently and within a team environment.
- Excellent communication, public relations and interpersonal skills with a strong ability to coordinate multiple people to get the job done while maintaining exceptional relationships with all involved.
- Ability to communicate effectively and concisely in both verbal and written form
- Excellent organizational and multi-tasking skills with an eye for detail and accuracy.
- Proficient skills using Manthan, JD Edwards (training will be provided if no previous experience with the software) and Microsoft Office (Word, Excel, PowerPoint and Outlook).
- Sound working knowledge of the Xstore environment (training will be provided if no previous experience with the software).
- Excellent time management and organizational skills with the ability to prioritize and plan multiple tasks and projects concurrently.
