The Inventory and Invoicing Administrator is responsible for the entry of purchase, receipt and reconcile orders including payment of Mill invoices. The incumbent ensures inventory control by coordinating with boarder reload stock transfers, inventory movement and by being in constant communication with suppliers and other Stela-Jones offices for lumber receiving, shipments to treating plants and Accounts Payable. Assists with sales through the verification and confirmation of sales invoices and provides customer quoting.
RESPONSIBILITIES
**Data Entry and Processing**:

- Enter purchase, receipt, and recon orders accurately.
- Manage data order entry and make necessary changes when needed.

**Invoice and Payment Management**:

- Process payment of mill invoices.
- Verify all freight/customer invoices prior to processing.
- Address Accounts Payable (AP) issues through daily use of VIM (Vendor Invoice Management).

**Inventory Control and Stock Movement**:

- Coordinate with border reload stock transfers and track inventory movements.
- Handle Windsor stock movements and prepare all stock transfers in SAP.
- Adjust STOs (Stock Transfer Orders) for reception in plants.
- Work closely with the Head Office team to ensure transactions are posted correctly.

**Communication and Coordination**:

- Communicate with suppliers and Stella-Jones offices regarding lumber receiving, shipments to treating plants, and accounts payable.
- Prepare information for the weekly lumber meeting.

**Customer Service and Sales Support**:

- Assist sales with customer service requests and support shipment follow-ups and problem-solving.
- Dispatch trucks for pick-up and coordinate logistics.

**Administrative Support**:

- Assist with receptionist duties, including answering phones when requested.
- Perform other duties as assigned.

QUALIFICATIONS
- College Diploma in a related discipline
- Minimum 2 years’ experience in inventory control and or invoicing Sales experience, an asset
- Proficiency in English, spoken and written
- Effective interpersonal and communication skills
- Accounting Knowledge
- Knowledge of inventory management, cost and availability
- Detail Oriented
- Intermediate Computer Skills (Microsoft Office)
