We are currently looking for an Executive Assistant, Philanthropy to join our team of committed professionals. This Full-time position within the Association is housed at the YMCA of Northeastern Ontario’s Chippewa location in North Bay.
Under the leadership of the Vice President of Philanthropy, Marketing and Communications, the Executive Assistant manages day to day office matters in accordance with YMCA charitable purpose, vision, and values.

**START DATE**: As soon as possible

**LOCATION**: North Bay, ON

**RATE OF PAY**: $40,000 - $48,800 per year

**HOURS**: 40 per week

Major Responsibilities
- Create and maintain an extensive tracking system for all financial documentation (i.e., receipts, invoices, cheque requisitions, TS Request, Employer claims, internal invoices, expense reports, credit card expenses, etc.) for various accounts and budgets
- Input and manage financial data
- Collaborate with the Finance department for the purpose of tracking, reconciliations, financial reviews, audits, etc.
- Act as a point of telephone contact for clients, guests, general public, donors and sponsors, etc. and provide information or redirect as required
- Manage day-to-day office and administration procedures (e.g. volunteer schedules, room booking, printing, photocopies, incoming/outgoing mail,travel arrangements, etc.)
- Prepare agendas and minutes, organize committee meetings (scheduling, booking, catering, etc.)
- Prepare donor files, research and registration packages
- Support the philanthropic annual goals and stewardship plan
- Assist with copy for donor newsletters, donor communications and the coordination of donor event planning
- Order and ensure adequate stock of the inventory of supplies as required
- Set up and maintain manual and computerized information filing systems

Qualification
- College diploma or University degree in administration or related field
- Minimum of three (3) years of experience in an office or clerical setting
- Experience in managing financial data
- Excellent verbal and written communication skills
- Excellent organizational and time management skills
- Advanced computer skills
- Bilingualism in both official language considered an asset
- Current and satisfactory Police Record Check with Vulnerable Sector
