**Position Title**:APTEC/Indigenous Energy Project Employment Support Clerk
**Salary**:$20.50 - $24.50 per hour/35 hours work week
**Term**:Term position until March 31, 2026
**Location**:NCNS Liverpool Regional Office - 180 White Point Road, Liverpool, NS
**Position Reports to**:APTEC Manager and APTEC Partnership Development Officer
**Positions Supervised**:N/A
**Position Overview**
Reporting directly to the APTEC Manager of the Native Council of Nova Scotia, the Aptec Employment Support Clerk will perform a variety of functions to best support programs and services situated at the assigned NCNS office location. The position will be required to both take direction and work intuitively to support the program’s goals and objective in a professional and culturally appropriate manner. The position shall also provide daily support to the APTEC Service staff as required. Given the nature of work and the multiple actions associated with NCNS program and service delivery and the very sensitive information gathered in an array of formats, any breach of confidentiality would be deemed as just cause for immediate dismissal.
**Essential Functions and Duties**
- **Administrative Duties**:
- Handles office interactions with outside visitors, this includes greeting and directing guest and clients of our services, answering phone inquiries and handling requests or complaints in a professional manner.
- Posts job opportunities and information on NCNS Program social media sites and other Indigenous sites where permitted.
- Provides website updates to the HR Officer on program or service information changes.
- Understands and adheres to NCNS policies and procedures.
- **Contracts/Statistics Management**:
- Complete and submit funding contract for Indigenous clients.
- Monthly statistical reports.
- Weekly entry into the ARMS database.
- Daily entry into the Lampss system.
- **Workshops and Events**:
- Coordinate and lead the planning of workshops applicable to employment and training.
- Assist program staff in the set up of workshops, career fairs or information sessions.
- Attend career fairs and information sessions to promote the APTEC/IEP Programs.
- Regular workshop reporting to include with monthly stats.
- Assist with collecting data for quarterly and annual reports.
- **Partnership Development**:
- Increase your knowledge of supports within your region of employment and training delivery.
- Familiarize and focus on Indigenous only initiatives as they relate to employment and training.
- **Confidentiality and Compliance**:
- Maintain up-to-date files and ensure confidentiality agreements are followed.
- Continuously seek education and training to remain culturally responsive and sensitive to the needs of clients.
- **Additional Duties**:
- Assist with community outreach efforts to promote the APTEC and IEP.
- Develop and implement a self-care plan and fiscal work plan.
- Perform any other related duties as required to support the operational and/or program needs of APTEC and IEP, as requested by the APTEC Manager and Partnership Development Officer.
- Provide assistance, as requested by Management to support operations of the organization.
**Performance Measurements**
Performance will be measured on several aspects, including but not limited to:
- Submission of detailed, and accurate reports and documents, when required and within scope of requirements.
- Management of and the completion of activities as outlined within the job description and any other associated work plans.
- Management of all activities in a timely and culturally sensitive manner.
**Qualifications and Competencies**
The following qualifications are desired:
- **Education/Certification/Experience**:
- High School Diploma or GED equivalent.
- A combination of education, training, and experience will be considered for this position; A diploma in administrative services or office system technology would be considered an asset.
- A minimum of two years working with the Mi’kmaq/Indigenous population and/or knowledge and understanding of Mi’kmaq/Indigenous culture, values, and practices; lived experience will be considered an asset.
- Experience working in a fast-paced environment.
- **Skills/Abilities/Knowledge**:
- Understanding of the Mi’kmaw culture, communities, and organizations.
- Working knowledge of First Nation Communities, the Rural & Urban off-reserve community, First Nation/Indigenous service delivery organizations, and applicable government programming, etc.
- Ability to professionally represent the NCNS with clients, at meetings and other gatherings.
- Demonstrated strong initiative, motivation, conscientiousness and dedication.
- Ability to work unsupervised with a high level of productivity with the ability to seek and take direction.
