Project Administrator

Overview:
The Project Administrator’s prime responsibility is to provide project management system support during all aspects of the project management process, ensuring that all applicable procedures are followed and assist the Project Managers in ensuring proper budget control and in the change management process and to assist the Comptroller during monthly invoicing period as required.
**Responsibilities**:
- Support PM team with administrative needs, coordinate daily activities related and prioritize assignments to ensure all deliverable deadlines are met.
- Organize meetings and take minutes of the meeting, as requested.
- Data entry for project management and financial systems for projects
- Maintenance of the documents in the project management system
- Produce various status reports on site activity at regular intervals to the Project Manager reporting on field issues and construction progress
- Control of filing, sharing and distributing of all information with the project team including scanning all the documents received and filing electronically.
- Provide full support to clients and maintain communications protocols for all site related concerns
- Ensure that a contract set of documents is set up for reference.
- Track all Weekly/Monthly Project Schedules and Master Schedules.
- Control all construction documentation required by the client, e.g. submittal logs, change order logs, drawing logs, information bulletins, site instructions, CCN’s, site inspection reports, etc.
- Administration of change management process ensuring timely consultant responses to contractor issued RFI’s, consultant issuance of CCO’s, contractor pricing and consultant’s reviews and approvals
Qualifications:
- College degree/certification preferable in accounting, business or project management OR high school completion with three years of general office experience
- Knowledge of project delivery essential and having construction experience an asset.
- Effective interpersonal skills, with an emphasis on verbal/written communication
- Strong organizational, coordination & documentation skills with ability to multi-task
- Ability to work independently and problem solve
- Proficiency with MS Word, Excel, Microsoft Office and with Adobe Acrobat Pro.
- Detail oriented with an adaptability to change
- Professional and approachable.
