Reporting to the Director, Risk Management, the Release of Information Analyst performs duties related to the release of clinical information in accordance with policies, procedures, legislation and standards in the retrieval, severing, electronic/paper distribution of patient care records. Responds to requests from internal/external sources for information regarding confidentiality and release of information policies and procedures; attends to legal requests for personal information and other related requirements.
**What you’ll do**
- Answers inquiries regarding requests for patient information by reviewing medical records, and determining information to release. Provides information to requestors such as lawyers, patient’s family members, and police by performing duties such as receiving requests; ensuring consent and authority to access the requested information is received and valid; following up with initiator of request where clarification or authorization is required; retrieving records and recording location in system, reviewing the records for accuracy, copying/compiling the requested information and forwarding information, in accordance with established policies and procedures, and legislation such as the Freedom of Information and Protection of Privacy Act (FOIPPA). Severs records as required and refers unusual requests to Director.
- Processes requests for paramedic interview by ensuring requests comply with policy, requesting records from data processing; sending questions to region and monitoring responses; severing third party information and sending responses to requestor and liaising with legal counsel when interview requests proceed to court actions.
- Maintains and updates release of information records; enters request information such as date of request, patient/client name, chart number, requester and date released. Provides statistical reports as required.
- Processes legal requests for personal information including certification of documents by performing duties such as numbering pages and completing and signing required standard form in accordance with established procedures. Represents organization to verify document authenticity as required.
- Ensures Authorization to Release Information form is acquired prior to releasing information when such authorization is required in accordance with policies, procedures, legislation and standards.
- May respond to internal and external queries related to release of patient information.
- Provides input to Director on procedure manuals and efficiency improvements for Risk Management area.
- Assists with policy and procedures by providing input to the Director or designate.
- Orients new staff by demonstrating procedures and sharing information.
- Performs other related duties as assigned.
**What you bring**
**Qualifications**:
- Grade 12, graduate of an approved program for Medical Records Technicians, plus two years’ recent related experience or an equivalent combination of education, training and experience.
- Skills and Abilities
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Physical ability to carry out the duties of the position.
- Ability to operate related equipment.
