**Overview**:
The Departmental Associate 2 position is responsible for providing moderately complex administrative and clerical support to Community Cultural Development Manager and Arts Programmers.

**Examples of key responsibilities include, but are not limited to**:

- Provide clerical support to Community Cultural Development Manager and Arts Programmers.
- Process timekeeping for staff and arts instructors including entering time, reviewing invoices, running queries, and checking and correcting errors to timesheets and invoices and entry.
- Process credit card reconciliation for all Arts Centre, Media Lab and Community Cultural Development card holders.
- Order and maintain office supplies for Arts Centre and Media Lab, and process incoming and outgoing mail and prepare mail-outs
- Liaise and provide information and assistance to a variety of internal and external contacts.
- Participate in continual improvements in an ever-changing, technology-driven environment.
- Update and maintain internet, intranet and departmental website by assisting with website design and updates.
- Maintain records management system.
- Assist with arts instructor and volunteer safety training administration, i.e. catering, updating records, assisting trainers, etc.
- Participate in the seasonal hiring and recruitment of arts instructors and volunteers.
- Provide relief in Arts Centre on a rotational basis.
- Other related duties and projects as required.

**Knowledge, Skills & Abilities**:

- Knowledge of business English, spelling, grammar and punctuation.
- Ability to communicate clearly both verbally and in writing.
- Ability to understand and carry out oral and written instructions.
- Ability to compose various types of correspondence, reports and presentations with a high level of accuracy and confidentiality.
- Ability to work effectively with mínimal supervision.
- Ability to exercise diplomacy, confidentiality and sound judgement.
- Ability to maintain effective working relationships with internal and external work groups.
- Ability to work independently and as part of a team.
- Ability to prioritize workload to achieve timelines; perform multiple tasks simultaneously; work well under pressure; problem-solve; and deal with stressful situations with professionalism.
- Demonstrates ability to deliver high volumes of work within established deadlines and provide accurate and effective results.
- Ability to perform timekeeping duties on time and with accurate results.
- Ability to accurately process a high volume of credit card reconciliations within established deadlines.
- Ability to successfully clear a Police Information Check.

**Qualifications and Experience**:

- Completion of grade 12 or equivalent along with intermediate to advanced level in the Microsoft Office Suite
- One (1) to two (2) years of related clerical experience, or an equivalent combination of training and experience.
- Valid Class 5 Driver's Licence for the Province of British Columbia.
- Knowledge of and/or appreciation of arts and community development an asset.

**Working Conditions**:
