The Executive Assistant provides support to the management team in the following ways:

- Administrative support to the senior management team including the Managing Director.
- Coordinate the management teams meetings including:

- Meeting minutes
- Process senior management monthly expenses
- Keep an organized and current list of key business contacts
- Reconcile and manage expenses for the corporate credit card
- Maintain a well-organized online document control system
- Review written communications for internal or external audiences
- Cultivating strong professional relationships with employees, suppliers, and our network of stakeholders and rightsholders while maintaining discretion and high confidentiality of the office
- Handle meeting, tour and VIP visit scheduling, onsite support, and coordination that could include hotel, air, and regional travel
- Preparing and processing purchase orders, expense reports and facilitating approvals
- Assist with organizing and hosting employee relation events online or in-person
- Assist company project leaders with reporting out project details
- Supervise the receptionist to ensure quality of service overseeing incoming guests, mail, errands and a well-functioning coffee room

**Position Requirements**:

- Minimum 3+ years’ experience in an Executive Assistant or administrative/secretarial role
- Exemplary business communication skills with fluency in verbal and written English
- a diploma or degree in office administration preferred
- Ability to multitask, prioritize and handle conflicting demands
- Exceptional organization of personal work as well as others’ schedules and needs
- Highly flexible with ability to adapt to a dynamic business environment
- Solid under pressure, professional and able to maintain composure in handling challenges and complaints
- Strong attention-to-detail with a focus on delivering quality while meeting deadlines

**Position Details**:

- The position reports to the Finance Director
- 3 Weeks vacation
- Shift: This position is scheduled five days per week, Monday to Friday. Occasional weekend and evening work is required.
- Upon hire, you are eligible for company benefits, which include extended health, dental, and vision care, AD&D insurance, life and dependent insurance, and long-term disability insurance. You receive RRSP matching funds after the 3-month probation is completed.
