**Position Title**:Sales Contracts Administrator

**Reports to**: Director of Finance

**Position Summary**:
The Sales Contracts Administrator is responsible for administration and review of sales contracts. The Sales Contracts Administrator liaises with Sales team daily to ensure all closed sales contracts are entered in CRM and Accounting system in an accurate and timely manner to support the invoicing process. The individual who fills this position will work closely with the Finance Department and will be cross trained to provide support when required.

**Primary Responsibilities**:

- Review all attributes of the contract for completeness and accuracy such as (customer signature, deposit, financing approvals, sales rep signature, completion date, payment terms).
- Enters and updates the company’s CRM and financial systems with job number, job costing to produce customer invoice, etc. information.
- Reviews and validates customer change orders and ensures all attributes of the change order are reviewed and approved.
- Matches contract revisions with final customer contract to ensure contract and remeasure check list details match.
- Manage contract cancelations by updating CRM and Accounting systems, issuing refunds where appropriate.
- Reconcile new contract bookings
- Maintain organized system of physical and digital records

**Additional Responsibilities**:

- Ad Hoc tasks
- Assisting Finance with various tasks related to the accounts receivable and accounts payable functions.
- Cross training on some finance related tasks

**Key Performance Indicators**:

- Number of orders processed daily
- New Sales Reporting reconciliation between Accounting and the CRM data
- Error rate related to contract review
