**JOB SUMMARY**
The Operations Administrator reports to the Operations Manager and supports all aspects of Elim Village Operations, which includes Reception, Facilities and Maintenance (including Grounds), Contracted Services (including Dining Services, Environmental Services, Information Technology & Security) and Property and Event Management Services (including short & long-term rentals). The role primarily provides daily Administrative, Technology and Audio/Visual customer service support. As a key contact point between Elim Village and its various stakeholders this individual needs to be a positive reflection of the organization and its values.
**QUALIFICATIONS**
- 3 years of relevant experience working with senior level administration with experience in office administration, event management and related computer software.
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, OneDrive & SharePoint).
- Previous related experience in a senior living community or customer service organization.
- Possess a post-secondary degree or diploma in Business Administration or relevant discipline would be an asset.
**REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES**

- Demonstrated skills in office administration, problem solving, customer service, office organization, inventory control, vendor research, expense tracking, minute taking and communication in the execution of assigned duties.
- Ability to effectively prioritize workflow and deal with confidential matters and information.
- Results-oriented with the ability to interpret and effectively manage multiple and competing priorities and timelines.
- Able to develop and maintain electronic calendars, filing systems and databases.
- Must have proven ability to establish and maintain effective working relationships, dealing with diverse personalities and a variety of internal and external stakeholders, particularly seniors.
- Ability to effectively prioritize workflow and deal with confidential matters and information.
- Ability to communicate technical information to non-technical person.
- Excellent organizational and interpersonal skills.
- Highly developed verbal and written communications.
**KEY RESPONSIBILITIES**
**Administrative Support**
- Support the Elim Village administration office environment to maximize effectiveness and deliver a positive first impression reflecting the culture and values of the organization.
- Supervision of common boardroom and meeting room calendars, catering delivery, housekeeping, copier maintenance, Shred-it and comparable professional office services.
- Creation of resident handbooks and key packages for new residents and support in programming entry FOBs and Garage Door openers.
- Assist in the creation, maintenance and revision of operational procedures, recordkeeping systems, forms control, office equipment and layouts.
- Coordinate unit responsibilities and logistics including meetings, special projects, and events.
- Develop and maintain a working relationship with multiple partners, suppliers, and vendors.
- Serve as primary backup support to short and long-term rental inquiries, including:
- Demonstrate to clients a strong knowledge of venues and vendor offerings, taking clients on tours of venue possibilities.
- Create event and catering proposals which fit client requirements.
- Assist with event planning, set-up and take-down as necessary.
- Assist in issuing invoices and collecting payments in a timely manner.
- Provide Reception relief and vacation coverage.
**Technology Support Assistance**
- Complete staff and resident service requests for contracted technical support as requested.
- Assist in the coordination of and communication to staff and resident of hardware deployments, repairs, add-ons, moves and changes for laptops, desktops, printers, scanners, copiers, telephone/headsets, cellphones, Apple TVs, Shaw or TELUS cable boxes/routers, and other IT related items.
- Assist with technical support on the basic use of Elim smartboard systems, video conferencing hardware and software, and other presentation systems including Clickshare and projectors.
- Provide basic technical support to staff and residents, including security protocols (escalating to contracted technical support as required).
