Office Administrative Assistant

**Summary**:
Responsible for providing, administrative and clerical services in order to ensure effective, efficient and accurate financial and administrative operations. You must comply with all government required legislation, policies and procedures working with our accountant. You will process and monitor payments and expenditures and preparing and monitoring the payroll system. Providing these services in an effective and efficient manner will ensure that accounts payables, receivables and payroll are accurate and up to date to ensure staff are paid in a timely manner and that vendors and suppliers are paid within established time limits.

**Primary Responsibilities**:
- Receive and verify invoices for goods and services to ensure that transactions comply with financial policies and procedures;
- Verify, enter and process invoices and bills into QuickBooks once signed off by a manager;
- Follow up with clients on payments; Receive calls from suppliers and trades and update for payment reception;
- Process payroll in Ceridian bi-weekly for hourly and salaried employees; Help with benefit administration;
- Process reports for deposits, outstanding accounts payables and receivables;
- Manage weekly cheque runs, prepare cheques for signature and mailing;
- Maintain general ledger with company accountant;
- Update vendor, supplier, trade and invoice folders;
- Reconcile statements on company visa bills with company accountant;
- Answer main office telephone and direct calls accordingly;
- Purchase office supplies as required;
- Filing and photocopying;
- Responsible to adhere to company policies and procedures.
- Advise and suggest improvements with regards to procedures.
- Advise and suggest improvements with regards to all areas for cost savings and waste reducing.
- Act in a professional manner using tact and diplomacy at all times when representing Pro-Land Landscape Construction Inc.
- May be required to perform additional responsibilities as assigned;
- Criminal reference check clearance required;
**Knowledge and Skill**
- Good knowledge of materials, products and services provided by Pro-Land Landscape Construction Inc.
- Ability to understand managers instruction, and work within timeframes;
- Attention to detail and accuracy;
- Good interpersonal and communication skills both oral and written to deal with clients, work with fellow employees and trades and suppliers;
- Excellent working knowledge of QuickBooks and accounting principles;
- Excellent working knowledge of payroll (Ceridian)
- **Working Conditions**:
- Working conditions require prolonged periods of sitting and using office equipment;
- Work location is indoors;
- Will require good attendance records;
- May require travel to deposit cheques at bank;
**Health and Safety**:
- Follow and adhere to company Health and Safety Policy;
- Ensure proper PPE is worn at all times in designated areas and in yard and on construction sites if applicable (including but not limited to CSA approved safety shoes\safety goggles, ear and head protection where required;
