**PRIMARY FOCUS/OVERALL ACCOUNTABILITY**:
Provide administrative support for the LINC Program site, instructors, and LINC Administrative Team.

**JOB RESPONSIBILITIES AND ACTIVITIES**
- Program Administration _
- Adhere to all ECSD LINC policies and procedures;
- Practice cultural awareness, sensitivity and respect in the workplace;
- Adhere to Freedom of Information and Protection of Privacy Act (FOIP) with respect to students’ and employee’s personal information;
- Establish a welcoming, safe and positive learning environment for students;
- Ensure you are informed of the Crisis Management Plan for the LINC stie;
- iCARE reporting: enter new students and update student records monthly;
- Handle incoming phone calls, screening and directing calls;
- Order and maintain office supplies and instructor resources;
- During emergencies on site or off, assist as required;
- Sign-in guests, as needed;
- Set up for LINC staff meetings and professional development, as required;
- Program Support _
- Register students;
- Handle student inquiries, requests and refer accordingly;
- Review classroom attendance and call students that have been absent for more than 3 days;
- Prepare student information forms for instructors;
- Maintain security of student files, ensuring files are locked up at the end of the working shift;
- Support site coordinator in arranging for substitute instructors, as necessary, during office hours;
- Assist instructors with session end duties such as progress reports, certificates, etc.;
- Act as liaison between coordinators, and outside agencies;
- Organize bus tickets for field trips;
- Maintain and update student records on LINC App, iCARE and other student databases;
- Ensure workspace is clean and tidy at the end of each working shift;
- Work amicably as a team member; sharing workspaces, participating in and contributing to material exchange, staff meetings and professional development; and,
- Perform additional duties as required by the Site Coordinator or Program Manager.

**JOB QUALIFICATIONS**
- High School Diploma and equivalent experience may be considered;
- Post-secondary education in professional administration, such as; business, computers, or office management;
- Minimum 1 - 3 years’ experience in an office environment;
- CLB Level 7 in listening, speaking, reading and writing or higher for non-native speakers;
- Proficiency in the use of office equipment: computer, phone systems, photocopier, etc.;
- Knowledge of electronic information systems, considered an asset;
- Proven problem solving and collaborative decision-making skills;
- Demonstrated interpersonal and communication skills; and,
- Ability to prioritize tasks, work independently with solid time management and organizational skills.

**Job Type**: Fixed term contract
Contract length: 12 months

**Salary**: $25.86 per hour

Expected hours: 30 per week
