Manager, Facilities and Special Projects

We are currently looking for a **Manager, Facilities and Special Projects **to join our Facilities team on a **permanent full-time basis**. The position reports directly to the Director, Human Resources at the firm.

The hours of work for this role will be **onsite Monday to Friday from 8:00 a.m. to 4:00 p.m**. Flexibility of hours may be required from time to time depending on business needs. This role’s primary location is in our Toronto office, and you will be required to travel to our Oakville office occasionally. This flexibility is crucial for ensuring effective oversight and management of facilities and projects across our law firm.

**Responsibilities**

**Facilities Management**:

- Maintain relationships with building management and coordinate building related matters.
- Manage day-to-day operations and uphold firm standards.
- Oversee facilities and office inventory budget.
- Oversee office and equipment maintenance schedules, routine inspections, and remediations for the professional upkeep of all offices.
- Management of security and safety for all offices.
- Manage office moves minimizing disruptions and ensuring a seamless transition.
- Collaborate with other departments on event space planning and execution.
- Foster collaborative relationships with cross functional teams to address facilities related needs promptly.
- Support with facilities projects as needed.

**Team Management**:

- Lead a team of six people running our Mailroom, Reception and Catering facilities and seek ways to improve services and increase efficiency.
- Collaborate with Business Services and all other colleagues to create a high performance environment.

**Qualifications, Skills and Experience**
- Three to five (3-5) years of management/supervisory experience in a facilities or related role.
- Flexibility to deal with out of hours facilities emergencies at either of our offices.
- Proficient in using MS Word, MS Teams, Excel, SharePoint, and PDF.
- Ability to handle confidential situations with tact and diplomacy.
- Ability to work on multiple projects/problems while consistently managing deadlines.
- Excellent oral and written communication skills.
- Excellent time management, organizational and prioritization skills.
- Project Management diploma or degree is an asset.
