**OVERVIEW**
Reporting to the Director, Human Resources and Deputy Chief Financial Officer (Interim), the Project Manager, Human Resources Information System (HRIS) will be responsible for overseeing the implementation of a new HR and Payroll system. The Project Manager will collaborate with the implementation project team comprising of Human Resources, Finance and Information Technology experts. Through effective management, the Project Manager will ensure project deliverables are executed on time, within budget, and in accordance industry best practices and Michael Garron Hospital (MGH) policies.
The Project Manager, HRIS will plan and oversee the daily activities of the project by exhibiting skills in leadership, project management, change management, MGH stakeholder and vendor relationship management, risk and problem management and a proactive attitude towards the delivery of the various project milestones. The Project Manager, HRIS will have excellent interpersonal, problem-solving, and conflict resolution skills, and the ability to work effectively both as part of a team and with limited direction.
**EDUCATION**
- Undergraduate degree in Information Systems, Business or Hospital Administration or equivalent
- Certified Project Management Professional (PMP) preferred
**PRIMARY RESPONSIBILITIES**
The Project Manager HRIS will have overall responsibility for the implementation of a new Human Resource Information System. Key requirements of the position include:
- Managing all day-to-day operational aspects to ensure effective delivery and execution of the implementation project in alignment with project goals.
- Developing and executing detailed project work plans for the successful implementation of the new Human Resource Information System.
- Work with project sponsors and process owners to complete project plans defining project scope, assumptions, risks, goals and deliverables, and financial resources
- Be accountable for planning, leading and motivating a cross functional team (HR, Finance, IT) to implement a HRIS by identifying resource requirements and assigning responsibilities.
- Responsible for communicating to project stakeholders, including the leadership team, and transferring PM knowledge / skills to other members of the multi-disciplinary implementation team
- Managing and coordinating the efforts of the external partners including the Implementation Services team and Product Vendor team
- Creating and executing quality assurance procedures throughout the project, including product testing and documentation.
- Managing project budgets to ensure a high level of fiscal control and accountability including monthly reporting of actual costs against budgeted amounts.
- Develop, maintain and store appropriately all project documentation, reports, schedules and budgets (e.g. project plan, issue and action logs, risk management, project status report, lessons learned, post implementation reviews)
- Collect inputs and prepare weekly and monthly status reports as required. Provide rationale regarding deviations from planned budgets and schedules.
- Implement and oversee the facilitation of training sessions relating to the HRIS implementation
- Anticipate problems or situations that could affect the team. Assess the potential impact on own and others’ work and develop and execute the best work solution. Manage escalated situations as proactively as possible, involving management as needed.
- Facilitating team and client meetings effectively.
- Delivering engaging, informative, well-organized presentations, where required.
- Possessing general understanding of human resources and payroll systems and their requirements
- Possessing excellent written and spoken skills
- Ensuring that decisions are made that have the least amount of impact to service levels
**QUALIFICATIONS**
- Minimum 5 years of demonstrated IT project management experience managing all phases (concept, definition, planning, implementation, and closeout) of large scale, complex IT projects, preferably in a Healthcare environment
- Experience project managing the implementation of a Human Resources Information System (HRIS) with multiple modules such as Core HR, Compensation, Benefits and Payroll. Experience with Workday products is preferred.
- Broad knowledge of HR & labour management, HRMS or similar domain products/systems required
- Demonstrated experience in managing relationships with external vendors, including monitoring vendor performance, and resolving disputes.
- Strong skills in leading effective teams, including providing direction, assigning tasks and responsibilities, providing constructive real-time feedback, and fostering a positive work environment.
- Demonstrated experience working within an Ontario Acute Care Hospital environment
- Demonstrated skills in facilitation, teamwork and leadership.
- Knowledge of project planning software.
