Overview:
We are looking for an enthusiastic, detail-oriented Executive Assistant who is a great communicator with experience and excellent written and oral skills. This role will assist our Vice President of Business Development and Senior Director of Canadian Operations.
As an Executive Assistant, you will be essential to our organization’s success. This position requires setting critical priorities, managing deadlines, and working effectively under time pressure. You will work independently, exercising initiative, sound judgment, and problem-solving skills to complete tasks effectively. One of the primary responsibilities is to proficiently manage the Vice President’s schedules, travel plans, conferences, and organizing and scheduling meetings while ensuring mínimal conflicts and maximizing the VP’s time for crucial tasks.

**Responsibilities**:
- Provide comprehensive support and customer service for the Vice President
- Prepare agendas and follow up on meetings
- Organize and maintain files
- Handle expense reports and other financial tasks as needed
- Ability to exercise judgment, diplomacy, and tact
- Display business and political acumen when dealing with varied day-to-day challenges
- Strong interpersonal and relationship management skills.
- Ability to work in a team or individually
- Effectively work under pressure and in a fast-paced environment with multiple competing priorities
- Excellent attention to detail and makes sure all details are managed effectively
Qualifications:
- Ability to independently assess and adapt priorities in an always-changing business environment
- Computer literacy with the ability to navigate, learn, and become proficient in software systems to manage sales orders, purchase orders, invoices, inventory, and other relevant transactions
- Strong analytical and problem-solving skills with an ability to anticipate opportunities and communicate practical solutions
- Ability to anticipate and proactively handle situations
**Education and Training**:
- Three Years of Executive Assistant Experience
- Exposure to the Forest/ Lumber Industry (an asset but not mandatory)
- High level of comfort and knowledge of Microsoft Windows, Word, Outlook, with competency in Microsoft Excel
- Strong understanding of modern tools and technology
