Administrative Lead

The Administrative Lead is responsible for overseeing the daily operations of reception and front of house at Greystone TCU, ensuring that staff perform their duties in an appropriate manner and that visitors are aware and follow the appropriate infection prevention and control protocols. The Administrative Lead has supervisory responsibilities of all receptionists as well as Screeners as well as oversees the ordering of office supplies, refreshments and other related items.
DUTIES AND RESPONSIBILITIES
- Oversee and manage receptionists and screeners
- Ensures front of house is well-maintained and ensure all employees and visitors are appropriately screened and comply with all IPAC procedures
- Field complaints and address concerns from stakeholders, visitors
- Participate in the recruitment and training of new employees
- Purchase, and distribute office supplies, maintain requests and packing slips as required
- Maintain coffee and other refreshment orders and ensure items are delivered in a timely manner
- Create, organize and maintain schedule for employees at reception
- Administer and process all petty cash transactions, maintain petty cash float, prepares reimbursement claims as required
- Liaise with and manage vendors as required
- Prepares employee ID badges for new hires
- Maintain keys and track access to various locations within the building
- Oversees in and outgoing mail and courier packages
- Maintain screening and IPAC documentation as required
- Perform other duties as assigned
Job Qualification
**Education**
Minimum - Secondary School Diploma; completion of a administrative training program is preferred.
**Experience**
A minimum of two years recent experience as a admin lead in an office setting.
**Other Skills and Abilities**
Exceptional interpersonal skills and ability to work independently and as part of a team; demonstrated ability and competency with respect to keyboarding, Windows software, multi-line telephone systems and standard office equipment; ability to speak, read and write English fluently as well as French in Branch Offices that provide service to French-speaking clients; strong commitment to continual learning.
