Transaction Management Administrator (The Platinum Group)
- Prepare & process real estate transactions (i.e. P&S agreements, amendments, price reductions, listing extensions/cancellations, etc.)
- Prepare and submit trade record sheets
- Monitor strict transactions deadlines by following up with all necessary parties to obtain & submit all time-sensitive documents
- Ensure all files meet compliance standards
- Regularly communicate with clients, lawyers, mortgage lenders, inspectors, and other real estate professionals
- Manage listing inputs in the Multiple Listing Services (MLS)
- Handle and coordinate all scheduling (i.e. listing photos, staging, home inspections, signage, listing appointments, etc.)
- Enter significant dates into Google calendar
- Maintain client database & transaction management system
- Coordinate all requirements for client & agent open houses
- Compilation of regular reports
- Weekly status updates in group meetings on all pending transactions
- Other administrative tasks as required

Training will be provided but successful applicant would demonstrate initiative and not seek micromanagement.

**QUALIFICATIONS**

- Ability to multi-task and priority-shift in a fast-paced environment
- Ability to function effectively with mínimal direction and make decisions within established criteria and known processes
- Ability to possess a professional demeanor and appearance at all times
- Advanced knowledge of Microsoft Office Suite and Google Drive and Mac iOS

**EXPECTATIONS**:

- Any sick days to be taken in no less than half day increments (for example, you can take a half day for an appointment, but can’t take just an hour)

**EDUCATION & EXPERIENCE**
- Preference will be given for minimum two (2) years of experience in providing administrative support.

The following are details involving the position:

- **Hours**: 40 hours per week (in-office 8:30am-5pm) Monday to Friday
- **Compensation**: Annual compensation starts at $45,000. Salary is payable twice monthly by direct deposit.
- **Vacation Entitlement**: Your vacation entitlement will be 2 weeks per annum, to be taken over the Christmas/New Year holiday period
- **Probation Period**: You will be under a 3 month probationary period commencing from your start date. A full performance review will be completed at the end of the 3 months.
- **Extended Health Care Benefits**: To be given following successful completion of the probationary period.
- **Expenses**: The agent will cover the cost of expenses related to your position/office needs.
- **Equipment**: An iMac desktop, multi-use office printer/copier/scanner. A communal Platinum Group office phone is also available for business-related purposes. Any equipment provided in the job role is, and will remain the property of the agents, and shall be returned should this contract terminate.
- **Sick Pay**: As per Nova Scotia Employment Guidelines, 3 paid sick days are permitted annually. This leave may be used to care for an ill parent, child, or family member. It can also be used for medical, dental, or other similar appointments. Should the contract end, these days will be prorated and paid out.
- **Personal Days**:Employee allotted 3 personal days to be able to be taken throughout the year in increments of no less than a half day for use at the discretion of employee, advance notice for this time off is required.

**Holidays**:All Federal statutory holidays are observed and off. Provincial and bank holidays may be off, it is at the discretion of the Employers

Pay: $45,000.00-$55,000.00 per year
