**Office Administrator**

**Position Description**:

We are currently looking for a highly skilled, caring, and safety focused individual for our Buttcon East Team. The Office Administrator plays a vital role in supporting the procurement and administrative activities of the company. This role involves working closely with the procurement team, to ensure the efficient and timely acquisition of goods and services required for the organization’s operations. The Office Administrator contributes to maintaining accurate records, coordinating with suppliers, and assisting in various tasks related to the procurement and administrative processes.

**Responsibility**:
**Here’s What You’ll be Responsible for**:Vendor communication & Coordination**:

- Liaise with suppliers to gather product information, quotes, and specifications.
- Assist in maintaining positive supplier relationships and resolving any issues that may arise.

**Purchase Order Management**:

- Assist in creating, editing, and processing purchase orders in accordance with established procedures.
- Bi-weekly reporting of unsigned purchase orders and bonds.
- Verify purchase orders for accuracy.

**Documentation & Reporting**:

- Maintain organized records of purchasing transactions, including invoices, purchase orders, and receipts.
- Generate reports detailing procurement activities, costs, and performance metrics as required.
- Assist in maintaining up-to-date product and supplier databases.

**Contract Management**:

- Type and Format Contracts
- Prepare Project Templates
- Enter Contract Values in both the Accounting and Project Management systems.
- Update contract statuses and changes
- Ensure understanding and management of contracts.
- Support in resolving any contract conflicts that may arise.
- File contracts according to projects and maintain the contract database.
- Work with various departments to obtain necessary contract inputs.

**Administration**:

- Preparing bi-weekly procurement meeting minutes
- Reconciling Credit Card transactions
- Support with travel coordination when required.
- Develop and maintain a filing system for both paper and electronic files.

**Other**:

- Support to Estimating Department during tender closings, when required.
