Reporting directly to the President, the _Executive Coordinator_ oversees and coordinates
confidential administrative support to the President, Board of Governors, Vice President
Finance & Administration, and other members of the executive management team to
facilitate the effective operation of the President’s Office and support the activities of
the executive management team (EMC).
**RESPONSIBILITIES
- Effectively liaises with management and other staff on matters related to the
operation of the institution - consistent with college policy & practice, as well as
the expectations of the President and Board of Governors (Board).
- Serves as the initial point of contact for the President, Board, and Vice President
Finance & Administration, for external and internal individuals and agencies;
regularly handling and providing direction on all aspects of regular, confidential,
and otherwise sensitive documents.
- Responsible for monitoring and maintaining the President’s, Board Member’s,
and the Vice President Finance & Administration’s schedules by coordinating
meetings and appointments while also monitoring organizational and staff
deadlines, ensuring sufficient lead time to allow for appropriate oversight of
institutional obligations.
- Prepares (including authoring) correspondence as requested by the President
and/or Board Chairperson, and delegates as appropriate.

- Responsible for overseeing and ensuring the professional image of the College is
maintained in all correspondence emanating from the President, Board, and
EMC.
- Oversees and collaborates on the preparation of the comprehensive board
meeting packages prior to their review by the president and then delegates their
distribution.
- Responsible for conducting and recording the proceedings (minutes) of all
regular and special meetings of the Board of Governors, internal or external,
regular and special meetings related to the business of the College and / or
chaired by the President & CEO; and the subsequent preparation of accurate
minutes of these meetings - including the delegation of this responsibility.
- Responsible for overseeing and ensuring that an effective and comprehensive
records management system is maintained to meet organizational needs while
maintaining the security and confidentiality essential to this function.
- Responsible for undertaking, delegating, and coordinating projects or initiatives
in support of the President and/or the Board as required. This may involve
undertaking or delegating research and preparing briefing materials for internal
and external consumption.
- Collaborates with other internal stakeholders in undertaking, delegating, and
coordinating College reporting to the relevant ministries on time, and within
government expectations. These reports include, but are not limited to Multi
- Year Business Plans, College Annual Reports, and Strategic Plans.
- By position definition or the terms of reference, this position is part of, or
provides support to, a number of committees, including, but not limited to, EMC;
and is a designated member of the Board Bylaw & Policy Review Committee.
- Responsible for maintaining and distribution of all Board Bylaws & Policies and
College Administrative Policies & Procedures thereby ensuring completeness,
accuracy and consistency.
- Provide assistance, when requested, with procedural matters at meetings of the
Board of Governors.
- Provides information technology support to the Board of Governor members for
necessary activities.
- Assists review of expense claims, honoraria and credit card reports including
their timely processing.
- Ensures that procedures are in place for dealing with priority matters in the
absence of the President.
- Supervises administrative staff assigned to the President’s office.
- Provides leadership to, and mentors, all in-scope administrative staff.
- This position is listed as one of the College’s signing authorities. As a signatory,
this position is responsible for ensuring appropriate oversight of documentation

**QUALIFICATIONS, KNOWLEDGE, SKILLS AND ABILITES**
- A minimum of a recognized diploma in office administration or a related
discipline.
- A minimum of five (5) years of practical experience in roles of progressively
increasing responsibility; related experience supporting C-suite level executives
is strongly preferred.
