**Job Summary**:
The Administration Assistant will provide essential administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks related to organization and communication, enabling the rest of the staff to work productively and efficiently. This position will also be required to complete minor HR related tasks and will be expected to be proficient in Excel and Microsoft office.

**Major Responsibilities**
- **Office Management**:

- Ensure the office is tidy and presentable, with all necessary materials (e.g., pens, forms, and brochures).
- Handle requests for information and data, including preparing and sorting incoming and outgoing mail.
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Answer and direct phone calls; take messages and respond to queries appropriately.
- Greet and assist visitors, ensuring they are directed to the appropriate person or department.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- **Administration**:

- Perform a variety of administrative and clerical activities
- Enter and update data accurately in various databases and spreadsheets.
- Track important deadlines for staff personnel files and clients
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Update and maintain office policies and procedures.
- **Personnel Support**:

- Support staff with signing certain documentation for their personnel file
- Help conduct reference checks and pre-screen interviews for personnel

**Qualifications**:

- A highschool diploma and/or a completed 1 year certificate or diploma in Business Administration or a related field
- Proficient in Microsoft Office Suite (Excel, Outlook, Teams, and SharePoint)
- Excellent interpersonal and communication skills with the ability to collaborate and work as an effective team member.
- Ability to work in a fast-paced environment and adapt quickly to changing priorities.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Strong organizational skills with the ability to multitask.
- Excellent written and verbal communication skills.
- A vehicle and valid Operator’s License are required

**Preferred Qualifications**:

- Experience working in residential programs
- Proven experience as an Administrative Assistant or relevant role.
- Ability to maintain confidentiality of sensitive information.

Pay: $30,000.00-$36,000.00 per year
