This **Office Administration **position is mostly an administration position reporting to our Senior Office Manager.

**Required Duties & Skills**:

- Provides administrative support to the Senior Office Manager (i.e. correspondence, research, reporting, data entry etc.);
- Maintains files and archives;
- Coordinates logistics for a variety of meetings/events;
- Assists in preparing for Prequalification submittals;
- Back up Service Dispatcher position as needed (breaks, vacation, leaves etc.);
- Assists with the onboarding process for new Employees;
- Supports the annual review and updating of organizational policies and procedures;
- Assists the H&S Coordinator with H&S requirements as needed;
- Administers the online H&S management platform;
- Organizes the Joint Health and Safety Committee (JHSC) and takes minutes at meetings;
- Applies Health & Safety principles;
- Collaborates as needed with the 3rd party H&S partner;
- Supports the annual review and updating of organizational H&S policies and procedures;
- Addresses any H&S related needs;
- Coordinates the development and implementation of specific documents (i.e. site-specific safety plans);
- Collects H&S data and prepares H&S reports;
- Assists in educating workers, supervisors, managers and other leaders in the company about health and safety standards;
- Assists in ensuring compliance with all Ontario Safety legislations;
- Prepares Safety Talks, H&S Newsletters;
- Assists with fleet management;
- Ensures that all submitted reports have been addressed and are saved for future reference;
- Other duties as required and Ad hoc projects as they arise

**Qualifications Required**:

- Post-secondary education or a combination of education and work experience;
- Experience in providing administrative assistance;
- Experience in providing HR support;
- Experience in Health & Safety;
- Exceptional organizational skills that reflect the ability to perform and prioritize multiple tasks with excellent attention to detail;
- Ability to maintain a high level of integrity and discretion in handling confidential information;
- Ability to take initiative and make suggestions to improve processes;
- Strong oral and written communication skills;
- Excellent skills in Microsoft Office Suite products: Excel, Word, Outlook, PowerPoint, etc;
- Bilingualism would be a strong asset.

**Job Type**: Fixed term contract
Contract length: 15 months

**Salary**: From $21.00 per hour

Expected hours: 35 - 40 per week
