Office Administrator

The Centre for Psychology and Emotional Health is a well-established practice in downtown Toronto. As an office administrator in a psychology clinic, one may need to interact with clients who are emotionally distressed at time. The ability to remain professional under pressure as well as being able to communicate well with clients to address their concerns is essential to being successful in this role.
**This role includes but is not limited to**:
- Acting as the first point of contact for clients, and supporting clients with appointment bookings, rescheduling, and insurance related inquiries.
- Providing support to our team of therapists with any administrative needs such as faxing reports, correspondence with clients relating to appointment booking, rescheduling, invoicing, and compiling shared resources.
- Providing support to the Clinic Director with any tasks as needed.
- Supporting the Clinic Manager with projects and tasks delegated to you.
- Troubleshooting Jane Video Software, and other video-conferencing software used for both therapists and clients.
- Corresponding with service providers, insurance companies, and EAP partners, including receiving and faxing claims documentation, sending 3rd party payment requests, and submitting progress reports.
- Scheduling and confirming appointments for therapists as needed, based on therapist availability
- Assisting as needed with accounts receivable
- Maintaining up to date digital client records, uploading important clinical documentation and communications to client files, sending clinic forms to clients.
- Managing online booking software and supporting Clinic Manager as needed with updating Associate’s schedule and availability.
- Managing inventory of office and clinical supplies and reporting to Clinic Manager.
- Maintaining professional appearance and organization of the Clinic, offices and common area.
- Supporting with the setup of weekly meetings in the Clinic boardroom.
- Assisting Clinic Manager with onboarding of new Associates and volunteers.
- Managing the volunteer transcription and clinical video project.
- Sending out Zoom meeting invites to Associates for supervisions and consultations sessions.
- Assisting with generating new ideas to optimize processes and office organization.
- Supporting Clinical Care Coordinator with registering new clients into Jane App Software and inputting client personal/ content information.
- Opportunity to support Clinic Manager as needed with updating & collecting Associate documentation, submitting forms to the College of Psychologists of Ontario.
- Supporting Clinic Director with our Education and Training Division as needed.

2 days a week | 1pm-9:30pm
3 days a week | 1pm-9:30pm
**Qualifications required**:
- Bachelor’s or College Degree in office administration, Psychology, Social Work or other relevant field in mental health or comparable work experience.
- A minimum of one-year work experience in a related field.
- Interested in a career path in office administration.
**Skills required**:
- Have relevant experience in office administration
- Excellent organizational skills and ability to manage competing priorities effectively.
- English fluency: must have advanced level proficiency in both written and verbal English.
- Excellent writing skills as this position requires clinic forms to be created and reviewed.
- Proficient computer literacy skills and experience using Microsoft Office 365 programs, scheduling software and ability to troubleshoot and learn new programs quickly.
- Strong interpersonal communication skills and ability to maintain composure when engaging in difficult conversations.
- Ability to interact professionally and respectfully with clients and Associates of different ages and cultural backgrounds.
- A genuine interest in psychology, counseling, social work, or healthcare is an asset.
- Attention to detail and a high level of discretion and sensitivity when handling confidential information.
- Experience in customer service and/or a high-pressure, multitasking, competing deadlines environment.
- Warm presence, positive attitude, and ability to communicate well with team members and clients. A commitment and dedication to engaging with team of Associates.
